Completes and coordinates varied administrative functions such as answering visitors' inquiries about the company and its services, directing visitors to their destinations, sorting, and handing mail, answering incoming calls on multi-line telephones, filing and performing a variety of other office tasks, such as faxing or emailing.

$18.65 Hourly wage

Primary Duties

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. These duties and responsibilities will be rated on the Annual Performance Review.

  • Answer telephone. Route calls to appropriate personnel or department. Answer questions about organization and provide general information. Receive voice mails and respond or forward accordingly.
  • Welcome on-site visitors to determine nature of business and announce visitors to appropriate personnel. Monitor visitor's access and issue badges when required.
  • Retrieve messages from voice mail and forward to appropriate personnel.
  • Receive, sort, and route mail, and maintain and route publications. May track postage and add postage each month according to site number. Date stamps the mail if required.
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.

Additional Responsibilities

  • Maintain and replenish office supplies and forms.
  • Arranges for conference rooms or other logistical arrangements as needed.
  • Perform other responsibilities as assigned.

Qualifications: Education, Experience, and Certification(s)

  • Required: High school diploma or General Educational Development (GED).
  • Required: One (1) year experience in administrative position.
  • Security clearance or background requirements are determined by contract requirements.

Knowledge, Skills, and Abilities

  • Excellent verbal communication skills for interfacing with customers.
  • Basic knowledge of Microsoft Office.
  • Excellent telephone manner when handling phone calls.
