The International Center of Photography (ICP) is the world's leading institution dedicated to photography and visual culture. Through our exhibitions, education, public programs, and community outreach, we offer an open forum for dialogue about the power of the image. Since our founding in 1974, we have presented more than 700 exhibitions and offered thousands of classes, providing instruction at every level. Our integrated center on the Lower East Side brings together our museum and school in one space, serving as the cultural anchor of Essex Crossing.

Position Summary

The School & Tour Programs Coordinator serves as the operational hub of ICP's Youth Programs team, coordinating school partnerships, guided tours, gallery visits, and residency programming while helping create engaging educational experiences for K-12 students, educators, higher education partners, community organizations, and public audiences.

Working closely with the Senior Manager of Youth Programs and Museum Educator, this role oversees the scheduling, logistics, communications, and administrative coordination that support ICP's growing school and tour programs. The Coordinator also assists with developing educational resources, supporting gallery experiences, and strengthening relationships with school and community partners throughout New York City.

Responsibilities
  • School Partnerships & Program Coordination: Coordinate the day-to-day administration of ICP's K-12 school partnerships, residencies, and educational programs.
  • Manage program scheduling, calendars, faculty assignments, and logistics for school residencies and educational initiatives.
  • Coordinate planning meetings, staff schedules, program timelines, and educational program logistics.
  • Maintain inventories of educational supplies and equipment, coordinating purchasing and replenishment as needed.
  • Support the production of student exhibitions and culminating residency events at partner schools.
  • Maintain timely communication with school partners, educators, and community organizations regarding scheduling, programming, and logistics.
  • Guided Tours & Visitor Experience: Coordinate all administrative aspects of guided gallery visits, including reservations, scheduling, confirmations, and communications.
  • Serve as the primary point of contact for school groups, community organizations, travel groups, higher education partners, and other guided tour requests.
  • Coordinate closely with Admissions, Visitor Experience, Public Engagement, and Education teams to ensure seamless visitor experiences.
  • Welcome and check in groups upon arrival and provide exceptional customer service throughout each visit.
  • Support the Museum Educator with tour preparation, group arrivals, program setup, facilitation, and breakdown as needed.
  • Deliver guided tours and educational workshops in collaboration with the Museum Educator and Youth Programs team.
Program Development & Educational Support
  • Collaborate with the Museum Educator, Senior Manager of Youth Programs, Curatorial team, and Public Engagement team to support exhibition interpretation and educational programming.
  • Assist with developing educational resources, pre-visit materials, gallery activities, and classroom resources for K-12 audiences.
  • Coordinate ICP's Educator Open House and other educator engagement initiatives.
  • Research emerging museum education practices and contribute ideas for new audience engagement opportunities.
  • Support accessibility initiatives, including educational resources and visitor materials.
Program Operations & Administration
  • Manage assigned programs and tours within ICP's ticketing and registration systems.
  • Track program participation, scheduling, attendance, and operational data.
  • Assist with developing and maintaining evaluation tools to measure program effectiveness and visitor satisfaction.
  • Coordinate across Curatorial, Marketing, Operations, IT, Visitor Experience, and other departments to support successful program implementation.
  • Maintain accurate records, calendars, and program documentation.
  • Perform other duties as assigned.
Marketing & Community Outreach
  • Partner with Marketing and Youth Programs staff to support newsletters, social media content, promotional materials, and outreach initiatives.
  • Coordinate educator mailing lists and communications with schools and community organizations.
  • Assist with communications promoting school programs, guided tours, and educational opportunities.
  • Support documentation and promotion of Youth Programs through collaboration with Marketing and school partners.
Education & Experience Requirements
  • Bachelor's degree or equivalent professional experience in Art Education, Museum Studies, Arts Administration, Art History, Photography, Visual Culture, or a related field.
  • Minimum two years of experience coordinating educational programs, museum programs, arts education initiatives, public programs, or similar administrative work.
  • Experience working with K-12 schools, museums, cultural institutions, nonprofits, or educational organizations preferred.
  • Experience coordinating multiple projects, schedules, and competing priorities. Experience using ticketing systems, CRM platforms, databases, or registration software preferred. Strong proficiency with Microsoft Office Suite, including Excel. Familiarity with photography, visual arts, or museum education preferred.
  • Exceptional organizational and project management skills.
  • Strong customer service orientation with excellent interpersonal skills.
  • Outstanding written and verbal communication abilities.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Comfortable working collaboratively across multiple departments.
  • Ability to work independently, solve problems proactively, and adapt to changing priorities.

Compensation Range: $25.64-$28.72 per hour.
