Responsibilities

  • Registers patients, verifies and enters insurance and demographics, scans documents, and maintains accurate records in the EHR.
  • Manages patient appointments, triage and waiting area flow to ensure smooth patient experience.
  • Obtains required consents, reappoints patients as needed, and communicates with patients, parents, and school staff.
  • Assists with financial assistance applications, posts payments, and reconciles daily balances.
  • Tracks and coordinates referrals to consulting physicians and ensures documentation for continuity of care.
  • Helps patients identify or apply for other coverage options and programs.
  • Obtains vital signs, updates medications and allergies, and supports providers with injections and routine lab tests.
  • Prepares exam stations, maintains cleanliness, and monitors supply inventory.
  • Coordinates with school health staff and supports school-based health services.
  • Maintains flexibility to perform clerical, clinical, or nursing duties as scheduling permits.

General Description

This position is part of the School Health team. This is a hybrid position functioning as both a registration clerk and medical assistant. This position assists with daily tasks, such as registering patients, verification of insurance, referral tracking, distributing medical record information, assisting with financial assistance applications and directing patients to community resources as needed. This position also functions as a Medical Assistant, including giving injections, measuring vital signs and ensuring the exam rooms are stocked and clean. This position will also assist school health nurses with various programs, including school health, dental outreach, Head Start health programming and medical outreach programming.

Requirements
Essential Duties
  • Patient Registration & Documentation – Registers patients, verifies and enters insurance and demographic information, scans documents, and maintains accurate records in the EHR.
  • Scheduling & Patient Flow – Manages patient appointments, monitors schedules, and ensures efficient patient flow through triage and oversight of the waiting area.
  • Patient Communication & Consents – Obtains required consents, reappoints patients as needed, and communicates effectively with patients, parents, and school staff regarding appointments and care.
  • Financial Assistance & Payment Processing – Assists patients with financial assistance applications and community resources, collects and posts patient payments, reconciles daily balances, and maintains cash control.
  • Referrals & Continuity of Care – Tracks and coordinates referrals to consulting physicians, requests and distributes medical documentation, and ensures documentation is obtained for continuity of care.
  • Insurance & Coverage Support – Assists patients in identifying or applying for other coverage options such as marketplace insurance or community-based programs.
  • Clinical Support & Patient Care – Obtains vital signs, updates medications and allergies, and assists providers in patient care, including administering injections, performing routine laboratory tests, and supporting specialty procedures as directed.
  • Exam & Supply Maintenance – Prepares exam stations and treatment areas, maintains cleanliness and organization, and monitors medical supply inventory to ensure availability of materials.
  • School Health Collaboration – Coordinates with school health nursing staff to support student health needs, enter student medical information into district systems, and facilitate access to school-based health clinic services.
  • Flexibility & Coverage – Maintains flexibility to perform a variety of clinical, clerical, or nursing duties, including substituting for school nursing staff as scheduling permits.

Qualifications and Skills

Working Conditions

While performing the duties of this Job, the employee is occasionally required to sit; regularly required to use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to walk. The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. This position is regularly required to crouch, kneel and crawl due to set up of the van. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus. Computer work is frequent and regular. Good lighting and comfortable temperature of ventilation at all times.
