  • Knowledge of New Mexico childcare licensing strongly preferred.

Overview

Under the direction of the Executive Director of School-Age Childcare and in accordance with the mission, policies, and principles of the YMCA of Central New Mexico, the School Age Program Coordinator provides operational leadership and management for an assigned portfolio of school-age childcare programs, including Before & After School Programs, School Break Programs, Day Camps, Teen Programs, and future school-age initiatives as assigned.


The Program Coordinator directly supervises Site Coordinators and is accountable for consistent program quality, licensing and regulatory compliance, staffing, enrollment, fiscal performance, risk management, family experience, and operational execution across assigned locations. Site Coordinators are responsible for the day-to-day operation of their individual sites; the Program Coordinator provides direction, coaching, resources, oversight, and accountability to ensure those sites meet YMCA and organizational expectations.


This position translates Association and department strategy into effective site-level operations, develops strong frontline leaders, strengthens systems and consistency across programs, and identifies opportunities to improve quality, enrollment, and sustainable program growth.


Responsibilities

Operational Leadership & Supervision

Program Quality, Safety & Compliance



  • Ensure all assigned programs meet and maintain applicable YMCA standards, New Mexico childcare licensing requirements, school or partner agreements, grant requirements, safety procedures, and other regulatory requirements.

  • Monitor required records, rosters, attendance, training documentation, incident reports, licensing files, and other program records for accuracy, completeness, and timely submission.

  • Lead implementation and ongoing maintenance of the New Mexico FOCUS quality improvement program for assigned sites, with the goal of increasing and sustaining program star levels.

  • Support consistent implementation of age-appropriate curriculum, enrichment, character development, youth engagement, and social-emotional learning practices across assigned programs.

  • Follow and enforce YMCA policies and procedures related to medical situations, discipline, child abuse prevention, emergency response, transportation, and risk management.


Staffing & Leadership Development



  • Partner with the Executive Director and Human Resources to recruit, interview, select, onboard, and retain qualified Site Coordinators and program staff for assigned locations.

  • Develop Site Coordinators as effective site leaders through coaching, mentoring, performance feedback, training, and structured accountability.

  • Ensure required staff certifications and trainings remain current and that Site Coordinators maintain accurate personnel and training records for their teams.

  • Support succession planning and build a pipeline of qualified staff capable of assuming increased leadership responsibilities.


Enrollment, Family Experience & Community Relationships



  • Monitor enrollment, attendance, retention, waitlists, and program capacity across assigned locations and implement strategies to maximize participation while maintaining quality and safety.

  • Support Site Coordinators in providing responsive, professional communication and excellent service to participants and families; assist with escalated family concerns as needed.

  • Develop and maintain effective working relationships with school administrators, community partners, families, and YMCA departments.

  • Represent the YMCA professionally at school, community, partner, and Association meetings as assigned.


Financial Management & Administration



  • Manage and monitor assigned program budgets, payroll, staffing models, expenses, enrollment, revenue, and financial performance in accordance with approved plans.

  • Review financial and operational data regularly, identify variances or trends, and implement corrective action in partnership with the Executive Director.

  • Ensure program purchasing, timekeeping, payroll practices, recordkeeping, and other administrative processes are accurate, timely, and consistent with YMCA procedures.

  • Use program data and performance indicators to identify needs, improve efficiency, strengthen quality, and support informed decision-making.


Program Growth & Outreach



  • Evaluate community needs, school relationships, program utilization, and market opportunities to identify opportunities for growth and expansion within assigned areas.

  • Support the development and successful launch of new Before & After School, Day Camp, School Break, Teen, or other school-age programs as assigned, with an expectation of contributing to annual program growth.

  • Coordinate marketing, outreach, open houses, school engagement, and enrollment activities with the Marketing Department and other YMCA teams as appropriate.

  • Identify opportunities to strengthen partnerships, increase community awareness, improve retention, and expand access to YMCA school-age programs.


Organizational Leadership



  • Collaborate with the Executive Director and other YMCA leaders to implement Association priorities and department initiatives.

  • Support Association fundraising, volunteer engagement, committees, special events, and cross-program opportunities as assigned.

  • Maintain a professional, collaborative, accountable leadership presence and model YMCA values in all interactions.

  • Perform other duties as assigned by the Executive Director of School-Age Childcare.


DECISION-MAKING AUTHORITY:


The School Age Program Coordinator exercises independent judgment in managing the day-to-day performance of an assigned program portfolio within established YMCA policies, approved budgets, licensing requirements, and department standards. The Coordinator is authorized to direct Site Coordinators, address routine staffing and operational issues, adjust site-level practices, and take corrective action necessary to maintain safe and effective operations. Decisions involving significant financial impact, employment actions, major compliance concerns, substantial risk, new contracts, or changes to organizational strategy are made in consultation with or escalated to the Executive Director of School-Age Childcare.


Qualifications


  • Bachelor's degree in Education, Child Development, Recreation, Business Administration, Public Administration, or a related field preferred; an equivalent combination of education and relevant experience may be considered.

  • Three or more years of progressively responsible experience in school-age childcare, youth development, education, recreation, or a related field preferred.

  • Two or more years of supervisory or leadership experience, including responsibility for coaching, scheduling, staffing, performance management, or developing employees strongly preferred.

  • Demonstrated ability to oversee multiple program locations, projects, or teams and manage competing priorities and deadlines.

  • Working knowledge of New Mexico childcare licensing requirements and school-age program operations strongly preferred.

  • Ability to meet and maintain all licensing, background screening, training, and regulatory requirements applicable to the position.

  • Strong organizational, communication, problem-solving, financial management, and relationship-building skills.

  • Demonstrated ability to recruit, retain, coach, and hold staff accountable while fostering a positive and professional team culture.

  • Ability to interpret and apply policies, regulations, contracts, standards, and procedures consistently across multiple locations.

  • Ability to analyze enrollment, staffing, budget, and program performance data and take appropriate action.

  • Excellent spoken and written English skills required; English/Spanish bilingual preferred.

  • CPR, First Aid, AED, and required Child Abuse Prevention training must be completed within 30 days of hire or within the timeframe required by YMCA policy or licensing standards, and must remain current.

  • Must be willing and able to travel regularly between assigned program sites, schools, community locations, and administrative offices.
