Job description

The Scheduling Manager will provide company-wide leadership and oversight of scheduling across the organization’s active construction projects. This role will work closely with Preconstruction, Project Managers, Superintendents, and project teams to develop, maintain, and manage accurate schedules from preconstruction through project completion.

About the Role

The Scheduling Manager will establish consistent scheduling processes and best practices, support project teams with baseline schedules, updates, forecasting, and look-ahead planning, and proactively identify schedule risks before they impact project performance. This position will serve as a key resource to project teams while providing leadership with clear, accurate insight into project progress, critical milestones, schedule performance, and potential delays.

Responsibilities

Preconstruction & Baseline Scheduling

  • Partner with Preconstruction to develop preliminary schedules during estimating and preconstruction.
  • Develop schedules that align with contractual requirements, project milestones, procurement activities, and overall project strategy.
  • Work with Project Managers and Superintendents to develop detailed baseline schedules following project award.
  • Establish company-wide scheduling standards, templates, calendars, coding structures, and procedures.
  • Review schedules for proper logic, sequencing, durations, milestones, procurement activities, and constructability.
  • Identify critical path activities and key project milestones.
  • Ensure schedules accurately reflect the planned execution strategy.

Project Scheduling & Forecasting

  • Work directly with Project Managers and Superintendents to maintain accurate, current project schedules.
  • Manage and support regular schedule updates and progress tracking.
  • Assist project teams with forecasting project completion dates and major milestones.
  • Monitor schedule variances, trends, and performance.
  • Identify potential delays and work with project teams to develop recovery strategies.
  • Monitor critical path activities and proactively identify schedule impacts.
  • Analyze schedule performance and communicate risks, opportunities, and areas requiring attention to project leadership.
  • Ensure schedules accurately reflect current field conditions, progress, and project expectations.
  • Serve as a scheduling resource and strategic partner to Project Managers, Superintendents, and project teams.
  • Participate in project planning, scheduling, and coordination meetings.
  • Facilitate schedule reviews and help project teams translate schedule data into actionable plans.
  • Work collaboratively with project teams to promote schedule ownership and accountability.
  • Provide training and coaching to PMs, Superintendents, and other team members on scheduling best practices.
  • Promote proactive planning and accountability throughout the organization.

Company-Wide Scheduling Management

  • Maintain visibility into schedule performance across the company’s active project portfolio.
  • Develop scheduling reports and dashboards for executive leadership.
  • Identify recurring scheduling issues, trends, resource constraints, and potential project bottlenecks.
  • Provide leadership with visibility into upcoming workload, major milestones, and schedule risks.
  • Standardize scheduling processes and best practices across projects.
  • Develop and maintain scheduling procedures, guidelines, and training materials.
  • Establish and monitor scheduling KPIs and performance standards.
  • Identify projects and activities trending behind schedule.
  • Work with project teams to determine the root causes of schedule delays.
  • Develop and support recovery schedules and mitigation plans.
  • Evaluate the schedule impact of changes, delays, procurement issues, unforeseen conditions, and other project events.
  • Provide schedule analysis and documentation to support project management and, when required, claims or time-extension requests.
  • Escalate significant schedule risks to senior leadership in a timely manner.
  • Help project teams develop proactive strategies to minimize schedule impacts.

Qualifications

  • 5+ years of construction scheduling experience, preferably with a commercial General Contractor.
  • Experience scheduling complex commercial construction projects.
  • Strong understanding of construction sequencing, subcontractor coordination, procurement, and field operations.
  • Strong knowledge of Critical Path Methodology (CPM) and construction schedule development.
  • Proven experience developing and maintaining baseline schedules, updates, forecasts, recovery schedules, and look-ahead schedules.
  • Proficiency with Primavera P6, Microsoft Project, or similar construction scheduling platforms.
  • Strong Excel and data analysis skills.
  • Ability to read and interpret construction drawings, specifications, scopes of work, and project schedules.
  • Strong understanding of project controls and schedule performance.
  • Excellent communication and interpersonal skills.
  • Ability to effectively communicate with both field and office personnel.
  • Strong organizational skills with the ability to manage multiple projects and priorities.
  • Ability to identify schedule risks and provide practical, construction-focused solutions.

Ideal Candidate

The ideal candidate is a construction-focused scheduler who understands how projects are actually built, not simply someone who manages schedules from a corporate office. This individual should be comfortable working directly with PMs and Superintendents, understanding field progress, challenging unrealistic durations, identifying critical path issues, and helping project teams develop actionable recovery plans. The successful candidate will bring a combination of strong scheduling expertise, construction knowledge, analytical ability, and leadership skills and will help establish a more consistent and proactive scheduling culture across the organization.
