Job Summary

Position: Scheduling Coordinator (Remote)

Job summary: We are seeking a highly organized and detail-oriented Remote Scheduling Coordinator to manage the scheduling process for high volumes of interviews—both in-person and virtual—for candidates and providers. This role involves coordinating calendars, updating schedules, and conducting follow-ups to ensure a seamless interview experience for all involved. The ideal candidate will be highly communicative, able to manage multiple schedules, and thrive in a fast-paced, remote work environment.

Responsibilities

Responsibilities include:

  • Interview Scheduling: Efficiently manage the scheduling of interviews for candidates and providers, both in-person and virtual, ensuring all details are captured and confirmed accurately.
  • High-Volume Coordination: Handle large volumes of interview requests, rescheduling, cancellations, and follow-ups, ensuring that all parties are kept up to date and informed.
  • Timely Follow-Ups: Proactively follow up with candidates and providers to confirm interview details, communicate any changes, and ensure preparedness for interviews.
  • Calendar Management: Manage and update multiple calendars for hiring teams, candidates, and providers, ensuring there are no conflicts and interviews are scheduled in an optimal manner.
  • Communication: Serve as the primary point of contact for interview scheduling, providing clear communication via email, phone, and messaging platforms with candidates, hiring managers, and providers.
  • Virtual Platform Support: Coordinate virtual interviews using platforms like Zoom, Microsoft Teams, or other tools, ensuring all technical aspects (links, access) are set up and functioning correctly.
  • Problem-Solving: Address and resolve any scheduling conflicts or issues, ensuring that the interview process remains uninterrupted and professional.
  • Reporting and Updates: Maintain records of scheduled, completed, and canceled interviews. Track and report on interview scheduling metrics and status updates to stakeholders.
  • Collaboration with Teams: Collaborate with recruiters, HR teams, and hiring managers to ensure seamless scheduling and adherence to hiring timelines.
  • Documentation: Maintain accurate documentation of interview schedules, candidate details, and follow-up actions taken.
Qualifications

Qualifications:

  • Proven experience in high-volume scheduling or coordination, preferably in recruitment or human resources.
  • Strong organizational skills with the ability to manage multiple calendars and priorities simultaneously.
  • Excellent communication skills (both verbal and written) to interact with candidates, hiring teams, and providers.
  • Proficiency with scheduling tools and software (e.g., Microsoft Outlook, Google Calendar, scheduling platforms like Calendly, Zoom, Microsoft Teams).
  • Ability to work independently in a remote setting while managing competing priorities.
  • High attention to detail, ensuring accuracy in scheduling and communication.
  • Ability to adapt to changing schedules and handle last-minute adjustments.
  • Experience handling confidential or sensitive information with professionalism.

Preferred Qualifications:

  • Experience working in recruitment or human resources environments.
  • Familiarity with virtual interview platforms and troubleshooting basic technical issues.
  • Experience in managing remote or virtual teams.
  • Knowledge of interview best practices and recruitment processes.
