Job summary

Canyon Vista Medical Center in Sierra Vista, AZ is seeking a Scheduler to coordinate patient testing, admissions, and insurance information. This role supports timely, accurate scheduling and communicates essential details to patients and physician offices.

The ideal candidate has a high school diploma or equivalent and preferences for bilingual English/Spanish, healthcare scheduling experience, and computer proficiency. Schedule is typically 8a-5p, Monday–Friday, with comprehensive benefits.

Qualifications

• High school diploma or equivalent required; or at least three years of directly related experience.
• Bilingual English/Spanish strongly preferred.
• Prior scheduling experience in a healthcare environment is strongly preferred.
• Medical terminology, billing, and/or collection experience preferred.
• Computer experience required.

Responsibilities

• Schedules patient testing, procedures, admissions, and collects/enters insurance information; handles incoming calls.
• Schedules patients for ancillary, surgical, and medical testing and admissions, ensuring staff availability.
• Notifies patients or staff of out-of-network carriers or benefits issues.
• Communicates special instructions, testing requirements, and pertinent information to patients or staff.
• Maintains awareness of next-day scheduling reports to prep registration staff and time slots.
• Obtains physician orders and required authorization or pre-certification.
• Enters outpatient procedures into the Order Entry System.
• Ensures consistency between scheduling and admissions modules for admitted patients.

How You'll Contribute

A Scheduler who excels in this role:

• Schedules patient testing, procedures, and admissions; obtains pre-certification/authorization numbers and enters them into the scheduling or registration system; collects and enters accurate insurance information; and answers incoming phone calls.
• Schedules patients for ancillary, surgical, and medical testing, procedures, and admissions, ensuring patients are not scheduled when personnel are unavailable.
• Notifies patients or physician office staff of any out-of-network carriers or issues that may result in reduced benefits.
• Communicates special instructions, testing requirements, and any other pertinent information or documents to patients or physician office staff.
• Maintains awareness of next-day scheduling reports to ensure registration staff are prepared for arriving patients, appropriate testing is performed, time slots are available, and the necessary staff are scheduled.
• Obtains physician orders and required authorization or pre-certification.
• Enters outpatient procedures into the Order Entry System.
• Ensures consistency between the scheduling module and the admissions module for patients being admitted for services.
