Job summary

Connextcare School Based Health Center seeks a coordinated professional to support the dental program's operational, administrative, and patient access functions. You will help manage scheduling, recalls, forms, and communications with parents, school staff, and providers to promote efficient delivery of dental services.

Responsibilities include coordinating with Dental Assistants, Hygienists, Dentists, and enrollment staff; maintaining records; and assisting with outreach, audits, and quality

Qualifications

  • High school diploma or GED.
  • Experience in dental/healthcare or school-based settings preferred.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication with diverse stakeholders.
  • Good judgment, organization, and prioritization.

Description

Basic Function

To support the operational, administrative, and patient access functions of the School Based Dental Program and promote efficient delivery of dental services within ConnextCare School Based Health Centers.

Principal Accountabilities:
  1. 1. Knowledge of all aspects of the School Based Dental Program and associated workflows.
  2. 2. Manage dental recall lists and schedule patients due for preventive, restorative, and follow-up services.
  3. 3. Manage parental consent forms for dental services, including tracking expiration dates and requesting updated documentation when needed.
  4. 4. Schedule treatment, preventive care, 6-month rechecks, sealants, and other follow-up appointments as requested by the dental provider or dental hygienist.
  5. 5. Communicate with parents/guardians regarding appointments, missed visits, treatment follow-up, and consent requirements.
  6. 6. Refer students with no insurance to facilitated enrollment staff for assistance in obtaining comprehensive insurance coverage.
  7. 7. Coordinate with school personnel regarding student availability, scheduling, meetings, school events, and other operational needs.
  8. 8. Maintain accurate patient demographic, registration, consent, and scheduling information in applicable systems.
  9. 9. Track School Based Dental enrollment and utilization and assist with required New York State Department of Health and organizational reporting.
  10. 10. Prepare or assist with quality, productivity, access, recall, and other operational reports as requested by Dental Leadership.
  11. 11. Monitor School Based Dental schedules and assist with filling openings, addressing cancellations, and supporting efficient patient flow.
  12. 12. Answer incoming calls, respond to patient and parent/guardian inquiries, transfer calls as appropriate, and schedule appointments within established guidelines.
  13. 13. Coordinate with Dental Assistants, Dental Hygienists, Dentists, Patient Access, Medical Records, and other staff to support continuity of dental care and required follow-up.
  14. 14. Assist with school-based dental outreach, audits, quality assurance activities, documentation reviews, and special projects as assigned.
  15. 15. Maintain confidentiality and travel to/provide operational coverage at School Based Health Center and Dental locations as needed.
  16. 16. Participate in school events (open houses, pre‑K and Kindergarten screening days, etc) to promote SBHC dental program and increase enrollments
  17. 17. Add follow-up exam visits to the dentist schedule to facilitate comprehensive visit for appropriate students.
  18. 18. Assist with and promote all processes associated with the Coleman initiative
  19. 19. Promoting Patient Centered Medical Home initiatives
Requirements
Knowledge/ Education Requirements:
  • A. High school graduate or GED.
  • B. Previous experience in a dental, healthcare, school-based health, patient access, or medical office setting strongly preferred.
  • C. Experience with Microsoft Office products, including Word, Excel, Outlook, and PowerPoint.
  • D. Verbal and written communication skills and the ability to communicate effectively with patients, parents/guardians, school personnel, providers, and coworkers.
  • E. Demonstrate proper judgment, organization, prioritization, and decision‑making skills when necessary.
  • F. Ability to manage multiple schedules, deadlines, follow‑up activities, and administrative responsibilities with accuracy and attention to detail.
  • G. Comply with the organization's code of conduct, safety rules, confidentiality requirements, and all company policies.
  • H. Carry out job responsibilities in an ethical, effective, and professional manner.
  • I. Must be willing and demonstrate the ability to cooperate, work, and communicate with coworkers, supervisors, providers, and external school partners.
  • J. Must demonstrate computer proficiency with Microsoft Suite, electronic medical record systems, and practice management/scheduling systems.
  • K. Must be keenly aware of the importance of confidentiality in all aspects of the position.
  • L. Must be flexible and able to travel between School Based Health Center and Dental locations as operational needs require.
