Job summary

MCS Puerto Rico is hiring a onboarding coordinator to manage documentation for new groups, ensuring timely processing of cost sheets, benefit summaries, and enrollment forms.

Responsibilities include tracking status, following up with stakeholders, preparing summaries, and ensuring compliance with policies and laws. Prior healthcare admin support is preferred and bilingual capabilities are noted.

Qualifications

  • Bachelor’s degree in Business Administration or related areas.
  • Experience in clinical affairs, healthcare coordination, or admin support preferred.
  • Associate path may substitute with two years of study-equivalent credits.

  • Monitor and track groups pending or ready for implementation.
  • Follow up with vendors/clients to collect signed documents.
  • Document and track agreements with internal and external stakeholders.
  • Assist in preparing client benefit summaries after a sale.
  • Ensure enrollment apps reach Enrollment and complete packets.
  • Review GAF to verify required information and agreements.
  • Coordinate with Underwriting and Pharmacy for first-group invoice.
  • Prepare Coverage Certificates and Base Benefit Summaries.
  • Create post-implementation audit reports across key areas.
  • Collaborate with Implementation to configure benefits before activation.
  • Comply with company policies and applicable laws/regulations.
  • May perform other duties as assigned.

Job description

GENERAL DESCRIPTION:

Responsible for coordinating and managing all documentation required for the successful implementation of new business groups. This includes ensuring timely and accurate processing of post-sale documents such as cost sheets, benefit summaries, memos, underwriting invoices, intake applications, eligibility files, email authorizations, HIPAA forms, electronic document consent forms, ACH forms, TOBs, Group Application Forms (GAF), CRM Sales records, and other related documents. The role involves close coordination with Sales Executives, clients, internal teams, and external producers to ensure a smooth and efficient onboarding process for each group.

ESSENTIAL FUNCTIONS:
  • Monitor, register, and track the status of business groups that are pending or ready for implementation.
  • Follow up with vendors, clients, producers, and account executives to collect all required signed documents (e.g., cost sheets, contracts) needed to complete group setup.
  • Document and track all agreements made with internal departments and external stakeholders to ensure proper follow-through.
  • Assist in preparing benefit summaries for clients after a sale, ensuring that any changes or exceptions are approved by Product Development and Underwriting.
  • Ensure timely delivery of enrollment applications to the Enrollment team and complete implementation packets to the Group Implementation department.
  • Review the Group Application Form (GAF) to verify that all required information and agreements are included and accurate.
  • Coordinate with the Underwriting and Pharmacy teams to estimate the first invoice (Binder Check) for new groups.
  • Prepare key documents for new clients such as Coverage Certificates, Base Benefit Summaries, and introductory materials (Press Kit).
  • Create and maintain post-implementation audit reports to document the completion of required setup tasks across key areas such as Pharmacy, Enrollment, System Configuration, and Delegated Entities.
  • Collaborate with the Implementation team and other departments to ensure benefits are correctly analyzed and configured before group activation.
  • Must comply fully and consistently with all company policies and procedures, with local and federal laws as well as with the regulations applicable to our Industry, to maintain appropriate business and employment practices.
  • May carry out other duties and responsibilities as assigned, according to the requirements of education and experience contained in this document.
MINIMUM QUALIFICATIONS:

Education and Experience: Bachelor’s degree in Business Administration or related areas. At least six (6) months of previous experience in clinical affairs, healthcare coordination, or administrative support within a healthcare environment is preferred.

OR

Education and Experience: An Associate’s Degree in Business Administration, or related areas, and/or at least sixty to sixty-four (60-64) approved university credits equivalent to two (2) years of studies. At least one (1) year of previous experience in clinical affairs, healthcare coordination, or administrative support within a healthcare environment is preferred.
