Job summary

Kimpton Hotels & Restaurants is seeking a hospitality-focused professional with a passion for sales and guest service. You will manage contracts, coordinate group bookings, and ensure accurate billing using our sales and event management systems.

The role requires strong computer skills, the ability to multi-task, and a willingness to work evenings, weekends, and holidays as needed to support the sales team and guest experience.

Qualifications

  • 2 years of hospitality industry experience preferred but not required.
  • Bachelor's degree in hospitality or business preferred but not required.
  • Strong understanding of customer and market dynamics and requirements.
  • Excellent communication skills and passion for creating guest experiences.

Responsibilities

  • Complete contracts and proposals with accuracy, and communicate timely and professionally with clients.
  • Coordinate with Sales Managers to execute group bookings in appropriate systems.
  • Set up accurate billing for each individual group.
  • Enter pertinent information into Sales, POS and Event Management systems.
  • Regularly assist in booking individual reservations that fall into special rate categories.
  • Build inquiries and/or bookings in Opera and pull reports as needed.

Education

Bachelor's degree in hospitality or business
2 years of hospitality experience preferred

What You'll Do

You're an ambitious individual with a passion for sales and customer service as well as outstanding organization, computer, and property systems management skills. You value customer service and have a genuine approach to helping guests!

Some Of Your Responsibilities Include

  • Complete contracts and proposals with accuracy, and communicate timely and professionally with clients.
  • Coordinate with Sales Managers to execute group booking accordingly in appropriate systems. Any additional group changes will be updated by the Sales Coordinator.
  • Set up accurate billing for each individual group.
  • Enter pertinent information into Sales, POS and Event Management systems.
  • Regularly assist in booking individual reservations that fall into special rate categories.
  • Run group reports through our sales system and continually maintain group bookings in property systems.
  • Type, answer telephones, send correspondence, etc. (as required)
  • Take leads both over the phone and email, then process in our sales system.
  • Building inquiries and/or bookings in Opera.
  • Pulling Booking Recap reports.
  • Processing invoices and delivering to Accounting.
  • BEO and Resume Distribution.
  • Entering group rooming lists.
  • Pulling group pickup reports.
  • Completing office supply orders.
  • Submitting guest amenity forms to Food & Beverage team.
  • Pre-walking guestrooms and event space prior to site tours if requested by Sales Manager.
  • Requesting show rooms for site tours.
  • Act as lead catcher for the department.
  • Lead walk‑in site tours when sales team / sales manager is unavailable.
  • Manages Gift Certificate program.
  • Assist with social media management and engagement.
  • Assists with administrative tasks related to Sales Team events.
  • Creation of physical turnover folders.
  • Enters Business Rewards points upon group account being fully closed.
What You Bring
  • 2 years of experience in hospitality industry preferred but not required.
  • Bachelor's degree in hospitality or business preferred but not required.
  • Flexible schedule, able to work evenings, weekends and holidays on occasion (typically works M-F standard hours).
  • Strong understanding of customer and market dynamics and requirements.
  • Extremely strong computer skills, organizational skills, proficiency in Microsoft Office suite of products and ability to prioritize and multi-task.
  • Well organized, detail oriented with excellent follow‑up skills.
  • Excellent communication skills and passion for creating ridiculously personable experiences for guests!
