Job summary

Everon in Beaverton, OR is seeking a detail‑oriented Sales Coordinator to support the sales team with proposals, contracts, and customer records. You will track bids, maintain documentation, and help ensure on‑time deliverables while collaborating with sales, operations, and engineering.

The role requires strong organizational skills, proficiency with Microsoft Office and CRM systems, the ability to manage multiple priorities, and a customer‑focused mindset.

Qualifications

  • High School Diploma or GED required.
  • Associate's or Bachelor's degree preferred.
  • Minimum 3 years of administrative experience in sales or service industries with ERP familiarity preferred.
  • Experience supporting B2B sales organizations preferred.
  • Experience with proposal preparation, contracts, or bid support is preferred.

Responsibilities

  • Provide day-to-day administrative and operational support to the sales organization.
  • Coordinate and track proposals, quotes, contracts, and bid-related activities.
  • Review sales documentation for completeness, accuracy and consistency.
  • Maintain customer and opportunity information in company systems.
  • Assist with creation, formatting, and distribution of proposals and scopes of work.
  • Maintain proposal templates and supporting documentation.
  • Track deadlines to ensure on-time delivery of proposals and commitments.
  • Support RFP, RFQ, and bid responses.
  • Generate and distribute sales reports and forecasting information.

Essential Functions
Sales Administration & Support
  • Provide day-to-day administrative and operational support to the sales organization under the direction of the Sales Manager.
  • Coordinate and track proposal, quote, contract, and bid-related activities.
  • Review sales documentation for completeness, consistency, and accuracy.
  • Maintain customer and opportunity information within company systems.
  • Assist with creation, formatting, assembly, and distribution of proposals, scopes of work, and customer-facing documents.
  • Maintain proposal templates, libraries, and supporting sales documentation.
  • Track deadlines and deliverables to ensure proposals and customer commitments are completed on time.
  • Support RFP, RFQ, and bid response efforts.
  • Generate and distribute sales reports and forecasting information as requested.
  • Assist with job turnover and hand-off documentation between sales, operations, and project teams.
  • Coordinate internal requests and follow‑up activities between sales, engineering, estimating, project management, service, and operations teams as directed by the Sales Manager.
  • Coordinate meetings, customer follow‑ups, vendor and manufacturer communications, project discussions, training opportunities, and other administrative support activities as directed by the Sales Manager.
  • Monitor assigned tasks and follow through to completion.
  • Assist with customer account transitions, contract renewals, monitoring agreements, inspection agreements, service proposals, and related documentation to support ongoing customer relationships.
Sales Process Coordination
  • Help ensure compliance with established sales processes and documentation requirements.
  • Support contract reviews, purchase order processing, and customer setup activities.
  • Assist with customer account maintenance and record management.
  • Identify process improvement opportunities that increase efficiency and consistency across the sales organization.
  • Maintain a high level of professionalism and responsiveness when interacting with customers and internal stakeholders.
  • Perform other related duties as assigned.
Qualifications
Education & Experience
  • High School Diploma or GED required.
  • Associate's or Bachelor's degree preferred.
  • Minimum 3 years of experience performing administrative duties required within a sales or service industry and working knowledge of ERP systems preferred.
  • Experience supporting a business-to-business sales organization preferred.
  • Experience with proposal preparation, contract administration, or bid support is preferred.

  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to analyze information, solve problems, and elevate issues appropriately.
  • Experience working with customer relationship management (CRM) and business systems is preferred.
  • Ability to read and interpret customer requirements, specifications, scopes of work, and construction‑related documents.

The Sales Coordinator regularly interacts with employees across sales, operations, engineering, project management, service, manufacturers, vendors, and customers in a fast‑paced, deadline‑driven environment.

Pay And Benefits Disclosure

The budgeted pay range for this role as of November 2025 is $21.63 – $33.31 an hour. This range is based on multiple factors, including but not limited to tenure, previous experience, qualifications, certifications, and geographic considerations.
