Job description

Essential Job Functions
  • Prepare and coordinate the Jefferson County Tax Docket in coordination with the Taxing agencies.
  • Generate and review daily filing reports
  • Meticulously manage and update case data to confirm accuracy and completeness
  • Monitor case progression and deadlines to guarantee timely dispositions
  • Manage daily communication with attorneys and litigants to schedule hearings, trials, and motions efficiently
  • Communicate courtroom procedures and scheduling protocols
  • Compile and organize all relevant case documents for judicial review prior to court proceeding
  • Process and file court orders and update case records promptly to establish accurate documentation of judicial ruling
  • Docket detailed minutes for all court proceedings
  • Draft proposed orders
  • Prepare daily hearing dockets
  • Prepare monthly Try or Dismiss dockets and orders of dismissal to prevent backlog
  • Prepare monthly trial dockets and coordinate with all parties to optimize scheduling, minimize conflicts, and support efficient courtroom operations
  • Facilitate jury panel coordination and provide assistance during trial proceedings to support smooth courtroom workflow and effective case management
  • Comply with mandatory reporting requirements pertaining to Motions for Summary Judgment
  • Evaluate operational needs and develop annual budget accordingly; and Order and maintain inventory of supplies

Regular and predictable attendance is an essential function of this position.

Education & Experience

High school diploma or GED required; Minimum of two years of full-time office or clerical experience, including at least one year of full-time work in a court setting; bilingual (Spanish) preferred; Must be Notary Public; Must complete 16 hours of continuing judicial education annually, as required by the Texas Center for the Judiciary.

Computer; multi-line telephone system; copy/fax machine; and other general office equipment as needed.

Knowledge, Skills & Abilities

Knowledge of legal documents, forms, terminology, computer applications, and general office procedures; Ability to maintain confidentiality, exercise sound judgment and discretion, and provide timely and professional responses to all inquiries; Strong computer proficiency, along with excellent verbal and written communication, interpersonal, and administrative skills, are essential. Must be able to type a minimum of 50 words per minute.

Physical Requirements

Work is primarily sedentary. Duties require frequent prolonged sitting; reaching, lifting and carrying of objects weighing up to 10lbs., such as files, records, and supplies; walking to courthouse and within office to deliver/retrieve files and paperwork.
