Job summary

R.D. SMOTHERS WEALTH MANAGEMENT, LLC. is seeking a Client Relations Coordinator in Kentucky. Qualifications

  • 1–2 years of experience in customer service, administrative, hospitality, or office/relationship-management work.
  • Reliable, professional, strong listening and communication skills; ability to multitask and work with a team.
  • Marketing or relationship management background is a plus.

Responsibilities

  • Greet clients and guests and create a warm, organized office experience.

What You'll Do

As our Client Relations Coordinator, you'll be one of the first people our clients interact with. You'll help create a warm, organized, and professional experience from the moment they call our office until long after their appointment ends.

Create an Outstanding Client Experience

  • Welcome clients and guests as they arrive for appointments
  • Offer refreshments and make clients feel comfortable while they're in the office
  • Answer incoming phone calls with warmth, professionalism, and a genuine desire to help
  • Call clients the day before their appointments to confirm meeting time and location
  • Send follow-up letters after appointments so clients feel valued and cared for
  • Mail birthday cards and other thoughtful communications throughout the year

Keep Our Team Organized

  • Pull client files and prepare materials for upcoming meetings
  • Assist advisors with administrative projects and day-to-day office needs

Keep the Office Running Smoothly

  • Sort and distribute incoming mail and prepare outgoing correspondence
  • Maintain an organized, accurate, and compliant filing system
  • Copy, scan, and organize documents as requested
  • Run occasional business-related errands
  • Assist with office projects and provide support wherever needed

Support Our Clients Behind the Scenes

  • Record detailed notes in our CRM
  • Help ensure client information is accurate, organized, and up to date
  • Communicate with clients, custodians, and other professionals in a courteous and timely manner

Help Build Our Community

  • Assist with planning and executing client appreciation events
  • Support our social media and marketing efforts
  • Help create memorable experiences that reflect the RDS Wealth Management brand and culture
KNOWLEDGE/EXPERIENCE

This isn't an entry-level position, we're looking for someone who has already worked in a professional or client-facing environment and is comfortable managing real responsibility from day one. You should have:

  • At least 1-2 years of experience in customer service, administrative, hospitality, or office/relationship-management work
  • A track record of reliability and professionalism in a work setting
  • Strong listening and communication skills
  • Ability to prioritize and work with a team
  • Working knowledge of computers and software
  • Ability to multi-task
  • Marketing or relationship management background preferred
