Job summary

Acceleration Academies in Cincinnati seeks a Registrar to manage enrollment, graduation, withdrawals, and maintain accurate student records in alignment with district requirements. You will collaborate with staff to support enrollment and graduation processes and ensure compliance across programs.

The ideal candidate has an associate degree (bachelor preferred) and experience with student records systems such as Infinite Campus, Edmentum, or MyIncite, plus strong organization and communication

The Role

The Registrar plays a vital role in managing and maintaining accurate student records, ensuring compliance with district and organizational requirements. This position is responsible for enrollment, graduation, and withdrawal processes, tracking attendance, and maintaining academic records. By partnering with staff and community stakeholders, the Registrar supports operational efficiency and helps students achieve their academic goals.

Key Responsibilities
  • Process new student enrollments, ensuring a smooth onboarding experience.
    Facilitate orientation sessions to familiarize students with academy policies and procedures.
  • Request and evaluate transcripts from prior schools to ensure proper academic placement.
  • Assign courses and activate students in the student information system, ensuring accurate enrollment in each course.
Retention
  • Compile and maintain attendance records for students in alignment with district requirements.
    Update and manage course schedules and student records, ensuring compliance with academy standards
  • Maintain accurate permanent student records, including immunization and contact information.
  • Convert and align grades and credits to district standards, creating accurate grade sheets each term.
  • Track and review state-mandated testing records to ensure compliance with graduation requirements.
  • Conduct grade reporting audits in collaboration with staff to ensure accuracy.
  • Assist students with college applications by preparing and distributing transcripts and necessary documentation.
Operations
  • Provide administrative support for daily academy operations, including answering calls and maintaining student records.
  • Prepare graduation lists and communicate with the district for diploma processing.
  • Participate in academy meetings and community events to support overall program success.
Additional Responsibilities
  • Collaborate with staff to identify and resolve student-related issues.
  • Perform other duties as needed to ensure smooth and efficient operations.
What We’re Looking For

Education: Associate degree required; Bachelor’s degree preferred.
Experience: Experience managing student records or in a related role preferred. Foundational knowledge of enrollment and registrar processes required.
Familiarity with non-traditional educational settings or alternative learning environments.

Preferred Qualifications
  • Strong interpersonal, organizational, and communication skills.
  • Proficiency in technology, including student information systems and data analysis. Experience with Infinite Campus, Edmentum, and MyIncite strongly preferred; familiarity with CCSD systems a plus.
  • A commitment to supporting disengaged students and creating opportunities for academic breakthroughs.
  • Experience with project-based learning, competency-based education, or similar methodologies.
