Job summary

Henrico Education Foundation seeks a Program Coordinator to oversee multiple after-school and summer programs, ensuring safe, enriching environments in line with policies and mission. The role works with Center Directors and site staff to manage operations, staffing, enrollment, and community partnerships.

Responsibilities include policy enforcement, staff development, licensing compliance, budget stewardship, and collaboration with school staff and families.

Job description

Job Summary

The Program Coordinator will oversee the administration and operations of after-school and summer programs. They will ensure a positive, safe, and enriching environment, in accordance with Henrico Education Foundation policies, procedures, and mission, working alongside their team of Center Directors and site staff.

Essential Functions
Program Oversight & Operations
  • Oversee the administration and operation of multiple after-school and summer programs, including implementing policies and procedures; planning and purchasing; staff promotion, hiring, and training; staff development; risk management; and ongoing program evaluation.
  • Ensure site staff follow and enforce policies and procedures.
  • Ensure Center Directors plan program sessions in alignment with program expectations.
  • Continuously evaluate programs to ensure effective operations.
  • Ensure daily operations adhere to all federal, state, local, and organizational policies, regulations, and licensure standards through regular site visits, which may include licensing and grant monitoring visits.
  • Serve in direct delivery of programs as needed.
  • Ensure each program operates in a fiscally sound manner.
Staffing & Team Management
  • Manage multiple Center Directors, including hiring, performance management, goal setting, coaching, task management, and quality control.
  • Collaborate with Center Directors to hire and train staff to effectively perform job duties.
  • Communicate effectively with Center Directors and Director of HR & Staffing to ensure programs are staffed within required ratios.
Enrollment & Community Engagement
  • Collaborate with Center Directors and school staff to promote programs and meet enrollment/attendance expectations.
  • Develop and maintain positive relationships with Henrico County Public School staff and school leadership, practicing prompt and professional communication, appropriate use of facilities, and positive collaboration.
  • Build and maintain positive relationships with parents, vendors, volunteers, staff, and the community.
  • Oversee partnerships and collaborations with organizations whose missions align with the Henrico Education Foundation to meet the needs of community children and families, which may include the FACE department, CIS, and school PTA programs.
  • Respond to all family and community inquiries and complaints in a timely manner.
Organizational Support & Communications
  • Support Henrico Education Foundation initiatives to help meet organizational goals, such as attending and participating in annual fundraising and Board events.
  • Interpret, communicate, and promote the Henrico Education Foundation's mission, goals, and objectives to school leaders, employees, students, and the community.
  • Partner with HEF Communications personnel and Center Directors to obtain program photos and anecdotal accounts of participant experiences for marketing and promotional purposes.
  • Support organizational and team goals as business needs change.
Education and Experience
  • Requirements of Program Director as detailed in the Virginia Regulations for Licensed Child Day Centers, which include at least one of the following:
    • A graduate degree in a child-related field (such as, but not limited to, elementary education, nursing, or recreation) from a college or university, plus six months of programmatic experience.
    • An endorsement or bachelor's degree in a child-related field (such as, but not limited to, elementary education, nursing, or recreation) from a college or university, plus one year of programmatic experience.
    • Forty-eight semester hours (or 72 quarter hours) of college credit, including 12 semester hours (or 18 quarter hours) in child-related subjects, plus one year of programmatic experience.
  • Management experience, including hiring and training staff
  • Experience working in a licensed child care facility
  • Experience working with students in school or program settings

  • Salary Range: $53,000-$58,000
