Position Summary
The Recreation Coordinator assists in the planning, coordination, promotion, and administration of the Township's parks and recreation programs, special events, and facility use activities. The position is responsible for organizing and implementing recreational opportunities for residents of all ages while supporting the operation and utilization of Township parks and facilities. The Recreation Coordinator works closely with residents, community organizations, volunteers, instructors, contractors, and municipal staff to provide high quality recreational services and community events. This position requires attendance at public meetings and regular evening and weekend work associated with programs, events, and community activities.
Essential Duties and Responsibilities
Recreation Program Administration
- Develop, implement, promote, and evaluate a diverse range of recreational programs and activities for residents of all ages.
- Plan, coordinate, and oversee seasonal programs, camps, sports leagues, fitness activities, educational programs, and community events.
- Assess community recreational needs and recommend new programs and services.
- Establish program schedules, registration procedures, participation requirements, and fees.
- Monitor program participation and evaluate effectiveness to ensure quality service delivery.
- Coordinate facility reservations, park permits, field scheduling, and recreational facility usage.
- Assist in monitoring park and facility conditions and communicate maintenance needs to appropriate staff.
- Conduct periodic site visits to support program operations and event activities.
- Help ensure facilities are prepared and available for scheduled programs and events.
Parks and Facilities Coordination
- Coordinate recreational activities and events across multiple Township parks and facilities.
- Manage facility reservations, field scheduling, park usage permits, and special event approvals.
- Work closely with Public Works and other departments regarding park maintenance needs, capital improvements, and facility readiness.
- Conduct periodic inspections of parks, playgrounds, athletic fields, and recreation facilities.
- Recommend improvements and enhancements to recreational facilities and amenities.
Community Events and Public Engagement
- Plan and oversee Township-sponsored special events, festivals, celebrations, and community gatherings.
- Develop partnerships with schools, nonprofit organizations, sports associations, businesses, and community groups.
- Respond to inquiries, concerns, and requests from residents and community organizations.
- Represent the Township at community functions, public meetings, and professional associations.
Administrative Responsibilities
- Maintain records, registrations, participation statistics, and program files.
- Process program registrations, payments, and related documentation.
- Monitor expenditures and revenues associated with recreation programs and facilities.
- Assist with budget tracking, purchase requests, and invoice processing.
- Prepare reports and program summaries as requested.
- Research and pursue grants, sponsorships, and alternative funding opportunities.
- Maintain recreation department webpages, social media content, and public communications.
Volunteer and Staff Support
- Assist with recruiting, training, scheduling, and supervising seasonal employees, instructors, and volunteers.
- Support staff and volunteers during programs and special events.
- Ensure compliance with Township policies and safety procedures.
Public Meetings and Board Support
- Attend, provide staff support, and act as secretary for the Recreation Board and Environmental Advisory Council (each meets once a month annually). Attend and provide staff support Township Board of Commissioner, and other public meetings as assigned.
- Provide updates regarding recreation programs, special events, and facility utilization.
- Present recommendations regarding recreation programs, park improvements, budgets, and policy matters.
Safety and Risk Management
- Ensure recreational programs and events are conducted in a safe manner and in compliance with applicable regulations.
- Develop and implement risk management procedures and emergency response protocols.
- Coordinate permits, insurance requirements, and safety plans for special events and programs.
Required Knowledge, Skills, and Abilities
- Thorough knowledge of parks and recreation principles, practices, and administration.
- Knowledge of recreational programming, event planning, and facility management.
- Knowledge of municipal government operations and public administration principles.
- Ability to effectively supervise staff, instructors, and volunteers.
- Strong organizational, communication, customer service, and public relations skills.
- Ability to prepare budgets, reports, grant applications, and presentations.
- Ability to establish and maintain effective working relationships with residents, community organizations, elected officials, and municipal staff.
- Ability to manage multiple projects and priorities simultaneously.
- Proficiency in Microsoft Office and recreation management software.
- Ability to work evenings and weekends as required.
Minimum Qualifications
- Associate's degree or Bachelor's degree in Recreation, Parks and Recreation Management, Public Administration, Event Management, Communications, or a related field.
- One (1) to three (3) years of experience in recreation programming, event coordination, community services, municipal government, or a related field.
- Equivalent combinations of education and experience may be considered.
- Valid Pennsylvania Driver's License.
Preferred Qualifications
- Experience working in municipal parks and recreation.
- Experience coordinating community events and volunteer programs.
- CPR/First Aid certification or ability to obtain certification.
- Experience with recreation registration software and social media platforms.
Working Conditions
- Work is performed in both office and outdoor environments.
- Frequent attendance at evening and weekend programs, special events, public meetings, and community activities is required.
- Occasional lifting and carrying of equipment and event materials up to 40 pounds.
- Exposure to varying weather conditions during outdoor events and programs.
