Job description

General Purpose:
The Records Technician Lead performs a wide range of records management activities throughout the entire records lifecycle. This position primarily handles physical files, with some functions involving electronic records. Responsibilities include managing file creation, coordinating file retrievals from both on-site and off-site storage, preparing and transferring records to off-site locations, and conducting regular record audits. This role also supports users and staff by addressing records-related inquiries, generating routine and ad hoc reports, and assisting with matter mobility processes. Additionally, this position does require travel to regional offices. This role is on-site at our beautiful downtown Denver office, Monday - Friday, 8:30am - 5:00pm and requires a minimum of four years of legal records management experience.

Essential Duties/Responsibilities:

Physical Records and Information Management

  • Performs all functions related to records management, including creation, classification, retrieval, retention, disposition, and audits using systems such as Records Management System (RMS), Document Management System (DMS), disposition workflows, and ethical wall tools. Performs tasks with strong technical proficiency in databases, sharp analytical ability to resolve complex data issues, and excellent organizational skills to manage tracking and monitoring efforts.
  • Ensures compliance with records management policies and procedures, and general standards.
  • Assists the Records and Information Manager with special projects, including records audits, rotations, data cleanup, data migrations, and strategic planning for initiatives such as destruction and digitization.
  • Assists the Records and Information Manager with service provider oversight and relations.

Project & Process Support

  • Supports the Records and Information Manager in prioritizing and completing projects, developing and implementing updated processes, training materials, and quality standards. Helps set the pace for the team and establish baseline productivity standards by modeling efficiency, tracking output, and promoting accountability.
  • Demonstrates initiative, emotional intelligence, and problem-solving skills in high-pressure or time-sensitive situations.
  • Performs other duties as required to support departmental and firm-wide goals.

Communication & Client Support

  • Communicates effectively and professionally with internal and external clients to address records-related requests and resolve issues.
  • Demonstrates strong attention to detail in both written and oral communication.

Leadership & Team Support

  • Serves as a key resource and escalation point for the Records team and other departments, offering expertise and support as needed.
  • Leads by example in promoting a culture of customer service, accountability, professionalism, and continuous improvement.
  • Promotes collaboration and a positive team culture within the Records team and across the firm.

Training, Mentorship & Development

  • Provides structured training and mentorship to Records Technicians, including documentation and hands-on support. Provides structured training to legal assistants and other firm personnel.
  • Coordinates with manager, office managers, and others to assess training effectiveness, address knowledge gaps, and implement ongoing development plans.
  • Supports the Records & Information Manager in developing and implementing updated processes, training materials, and quality standards.

Job Qualifications (Education, Experience and Certification):

  • Bachelor’s or Master’s degree in Records Management, Library Science, or a related field preferred. IGP or CRM certification is also preferred. Equivalent extensive on-the-job experience may be considered in lieu of a degree or certification.
  • Minimum of four years of legal records management experience.
  • Proficiency with records management systems and tools, including matter mobility, offsite/on-site records handling, and ethical wall protocols.
  • Strong organizational and time management skills, with the ability to handle multiple priorities.
  • Demonstrated leadership and mentoring ability.
  • Excellent verbal and written communication skills.
  • High attention to detail and commitment to data integrity.
  • Proven ability to work independently and as part of a team.

Physical Requirements:

While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least forty (40) pounds; have repetitive wrist/hand/finger movement to work on a computer, file audit hardware, and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.

Work Environment:
Professional office atmosphere in a work center environment with multiple team members in the same room. Work may require occasional extended hours to complete high demand work. This role is on-site at our beautiful downtown Denver office, Monday - Friday, 8:30am - 5:00pm.

Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. Colorado Salary Range - $24.21 to $40.36/hour. A discretionary bonus may be available based upon performance.
