Swedish Foundation Front Desk Receptionist

The Swedish Foundation is seeking a professional, friendly, and highly organized Front Desk Receptionist to serve as the first point of contact for donors, visitors, and guests. This role plays a key part in creating a welcoming environment while supporting the day‑to‑day operations of the Foundation through administrative, office coordination, and customer service functions. The ideal candidate is customer‑focused, detail‑oriented, and enjoys working in a collaborative team environment.

Key Responsibilities
Reception & Visitor Services
  • Serve as the first point of contact for visitors, donors, and guests, ensuring a positive and professional experience.
  • Greet and welcome visitors in a courteous and friendly manner.
  • Answer, screen, and direct incoming phone calls to the appropriate staff members.
  • Respond to routine inquiries and elevate issues as needed.
  • Maintain a clean, organized, and professional reception area.
  • Serve as suite point of contact for building‑related needs.
Office Operations & Administrative Support
  • Manage front desk operations and provide general administrative support.
  • Receive, sort, and distribute incoming mail, packages, deliveries, and correspondence.
  • Assist with meeting preparation, printing, document assembly, and other administrative tasks.
  • Follow all organizational security, privacy, and confidentiality procedures.
  • Collaborate with Foundation staff and other departments to support smooth daily operations.
Meeting & Conference Room Support
  • Coordinate conference room reservations and scheduling.
  • Arrange catering and provide logistical support for meetings and special events.
  • Assist with meeting setup and room readiness.
  • Provide general meeting support as assigned.
Technology & Communications Support
  • Provide light technical support for conference room audiovisual equipment, printers, and basic technology needs.
  • Manage the lobby Signage Live electronic bulletin board schedule and content updates.
  • Assist staff with routine technology‑related requests and coordinate additional support when needed.
  • Coordinate any IT tickets for repairs or replacements of technology (printers, computers, peripherals, etc…)
Facilities & Supply Coordination
  • Order, stock, and maintain office and breakroom supplies.
  • Coordinate breakroom organization and ensure common areas remain well maintained.
  • Support workplace hospitality needs for staff and visitors.
Event Support
  • Assist with event preparation and logistics as assigned.
  • Support Foundation programs, donor events, and special initiatives through administrative and operational coordination.
  • Other duties as assigned.

Posted are the minimum and the maximum wage rates on the wage range for this position. The successful candidate's placement on the wage range for this position will be determined based upon relevant job experience and other applicable factors. These amounts are the base pay range; additional compensation may be available for this role, such as shift differentials, standby/on‑call, overtime, premiums, extra shift incentives, or bonus opportunities.
