Job summary

Refresco Beverages US Inc. is seeking a Quality Systems Coordinator to provide comprehensive admin support to the Quality team and ensure accuracy and speed in delivering quality services across interfaces.

You will oversee procurement of lab supplies, manage COAs, and drive the SQF program, including audits, CAPAs, and documentation control, enabling continuous improvement in food safety and quality across the facility.

Qualifications

  • Experience in Food/Beverage manufacturing preferred.
  • Proficient in Excel, Word, SAP and PowerPoint.
  • Ability to analyze and solve problems; results oriented.
  • Organized and detail oriented; adaptable to change.
  • Excellent interpersonal and written/oral communication skills.

Responsibilities

  • Adhere to health and safety policies, GMPs and PPE requirements.
  • Ensure food quality and safety per corporate/customer standards (e.g., SQF).
  • Maintain accuracy and efficiency in administrative tasks within the Quality Department.
  • Provide admin support to QA team to meet departmental objectives.
  • Oversee procurement and inventory of laboratory supplies and reagents.
  • Process invoices related to lab supplies accurately and timely.
  • Support compliance with third-party food safety/quality certifications and SQF system.
  • Develop, maintain, and continually improve SQF system and compliance.
  • Issue and process Purchase Orders for the Quality Department timely.
  • Maintain document control system for SQF program (SOPs, audits, corrective actions).
  • Monitor corrective actions and ensure timely resolution.
  • Assist with plant audits for GMP/SOP compliance with leadership reports.
  • Facilitate Management Review meetings for annual SQF review/update.
  • Coordinate annual Food Safety/HACCP reviews before changes.
  • Communicate Quality performance data and update specs for co-pack products.
  • Verify QC/QA data daily for consistency and compliance.
  • Manage Certificates of Analysis for ingredients and reagents (including organics).
  • Compile and maintain Quality KPIs for Plant Dashboard and reporting.
  • Identify and implement process improvements to enhance SQF/quality SOPs.
  • Uphold Food Safety/Quality policies across the facility.
  • Oversee receipt/delivery for alcohol (where applicable) with regulatory compliance.

Position Description

Reporting to the Department Manager, the Quality Systems Coordinator is responsible for providing comprehensive and efficient administrative service to the site Quality team. The role focuses on accuracy and speed to ensure that quality and professional service is always delivered to all internal and external interfaces.

Essential Job Functions:
  • Adhere to all health and safety policies/procedures, Good Manufacturing Practices (GMPs) and PPE requirements.
  • Responsible to adhere to food quality and food safety as per the standard(s) provided by corporate, customer, and/or governing bodies (ex. SQF).
  • Set and maintain high standards of accuracy and efficiency for all administrative tasks within the Quality Department.
  • Provide comprehensive administrative support to the QA team, enabling the achievement of departmental objectives.
  • Oversee and manage the procurement and inventory of laboratory supplies, including reagents, water treatment chemicals, and microbiological materials.
  • Ensure timely and accurate processing of invoices related to lab supplies.
  • Responsible for supporting and maintaining compliance with third-party food safety and quality certification requirements, including the implementation and continual improvement of the facility’s food safety and quality management systems.
  • Responsible for the development, implementation, maintenance, and continuous improvement of the SQF System and ensuring compliance with all relevant food safety and quality requirements.
  • Issue and process Purchase Orders (POs) for the Quality Department in a timely and accurate manner.
  • Maintain the document control system for the SQF program, including SOPs, policies, internal audits, and corrective actions.
  • Monitor and facilitate the completion of corrective actions, ensuring timely resolution.
  • Assist with plant audits to ensure GMP and SOP compliance, providing actionable summary reports for leadership.
  • Facilitate Management Review meetings, ensuring the SQF program undergoes annual review and updates by leadership.
  • Organize and coordinate Food Safety/HACCP reviews annually and prior to process changes.
  • Communicate Quality performance data and update specifications for co-pack produced products.
  • Verify Quality Control and Assurance data daily to ensure consistency and compliance.
  • Manage Certificates of Analysis (COAs) for ingredients and reagents, including organic certifications.
  • Compile and maintain Quality KPIs, contributing to the Plant Dashboard and data reporting.
  • Assist in identifying and implementing process improvements to enhance the facility's SQF and quality SOPs.
  • Uphold and ensure adherence to the Food Safety and Food Quality policies and procedures across the facility.
  • Oversee the receipt and delivery processes for alcohol, ensuring compliance with all regulatory and quality standards. (Alcohol producing sites only.
Required Skills:
  • Experience in Food/ Beverage Manufacturing preferred.
  • Proficient in Excel, Word, SAP and Power Point.
  • Ability to analyze and solve problems, results oriented.
  • Organized and detail oriented, adaptable to change.
  • Excellent interpersonal and communication skills, verbal and written.

Education and Experience:
  • Bachelor’s degree or Diploma in Food Science, Quality or related discipline
  • Minimum 3 years of experience in Quality within a manufacturing environment, preferably food/beverage industry
  • Comprehensive knowledge of quality systems (GMP, HACCP, SQF) – certification required.
  • In plants co-packaging alcoholic beverages, sensory tasting must be at least 21 years old.
Working Conditions:
  • Work Schedule: Weekdays, weekends, afternoon, evening, and overnight may be required. Overtime scheduled as needed.
  • Work Environment: Operating in a fast-paced production plant with numerous moving parts. Noise levels require hearing protection and temperatures can get very hot and/or relatively cold (laboratory is temperature controlled). The environment is structured and supervised.
Travel Requirements:
  • 0% travel anticipated.
Physical Requirements:
  • Visual/Sensory: This position requires attention to detail, requiring attention with one or two senses at a time.
  • Mental Stress: There is pronounced pressure from deadlines, production quotas, accuracy, or similar demands.
