Position Summary

Under the direction of the Quality Manager and Document Control Supervisor, the Quality Control Document Coordinator is a key member of the Quality Team responsible for reviewing, maintaining, organizing, and controlling production and food safety documentation to ensure accuracy, completeness, and compliance with company, customer, regulatory, and Safe Quality Food (SQF) requirements.

This position plays an important role in supporting the Quality and Food Safety programs by reviewing daily production documentation across all three shifts, identifying and communicating required corrections, maintaining controlled documentation, supporting SQF documentation requirements, entering and tracking data, and providing coaching and training to production employees.

The Quality Control Document Coordinator is responsible for maintaining departmental procedures, organizing the SQF document system, supporting audit preparation, and assisting with continuous improvement initiatives within the Quality Department. The ideal candidate is highly detail-oriented, dependable, organized, and able to manage multiple priorities while working effectively both independently and as part of a team.

Essential Duties and Responsibilities

  • Follow all Good Manufacturing Practices (GMPs), company policies, uniform requirements, and food safety requirements.
  • Maintain a good attendance record, positive attitude, and professional working relationship with employees across all departments.
  • Review daily production documentation for all three shifts to ensure accuracy, completeness, and compliance with established procedures and food safety requirements.
  • Review production paperwork approximately 4–5 hours per day, identifying errors, omissions, inconsistencies, or missing information and documenting required corrections.
  • Communicate documentation issues and required corrections to appropriate personnel and provide coaching to production employees to ensure proper completion of records.
  • Work directly with production employees to provide document coaching and reinforce Good Documentation Practices (GDP).
  • Perform audits of completed documentation to ensure compliance with company procedures, SQF requirements, and Good Documentation Practices.
  • Maintain, organize, and control departmental procedures, SQF files, and controlled documentation systems.
  • Receive, file, copy, catalogue, distribute, and maintain paper and electronic versions of controlled documents as required.
  • Review, revise, update, and maintain SQF documentation, food safety manuals, quality manuals, and related records.
  • Communicate changes to SQF documents, procedures, and food safety requirements with affected employees and departments.
  • Participate in SQF audits, audit preparation activities, and ongoing food safety and quality system improvements.
  • Participate in annual reviews of food safety plans, quality plans, and related documentation.
  • Organize and maintain employee training records and training databases to ensure documentation accuracy and completion.
  • Lead plant-wide Quality and Food Safety training sessions, requiring confidence and effectiveness in public speaking.
  • Conduct food safety, quality, and documentation training as part of new hire orientation and ongoing employee development.
  • Perform accurate data entry and maintain quality and food safety information using Microsoft Excel spreadsheets, Microsoft Word documents, and company systems.
  • Utilize Microsoft Dynamics 365 ERP and other company systems to enter, retrieve, and manage information.
  • Maintain confidentiality, accuracy, and organization of quality and food safety records.
  • Support the Quality Team with ongoing food safety, quality, documentation, and continuous improvement initiatives.
  • Maintain a basic working knowledge of production lines, products, and manufacturing processes to support effective document review.
  • Work collaboratively with Quality, Production, and other departments to support company quality and food safety objectives.
  • Manage multiple responsibilities, projects, and priorities while maintaining accuracy and attention to detail.
  • Take on additional quality and food safety responsibilities as assigned.
  • Work extended schedules or modified hours as business needs require.

Education and/or Experience

To perform this job successfully, an individual must meet the following requirements:

  • High school diploma or equivalent required; advanced education preferred.
  • Previous experience in Quality, Food Safety, Document Control, Production, or a manufacturing environment preferred.
  • Experience working with SQF, HACCP, GMPs, or other food safety and quality management systems preferred.
  • Experience with document control, recordkeeping, or controlled documentation systems preferred.
  • Experience using an ERP system, preferably Microsoft Dynamics 365, preferred.
  • Experience providing employee training, facilitating meetings, or speaking in front of groups preferred.
  • Computer proficiency in Microsoft Office, including Microsoft Excel and Word.
  • Bilingual in Spanish is a plus.
  • Candidate must be willing to become certified as a HACCP Manager and SQF Practitioner.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.

Ability to understand and apply basic mathematical concepts necessary for reviewing documentation, entering data, and maintaining accurate records.

Physical Demands

While performing the duties of this job, the employee may be required to:

  • Frequently stand, walk, sit, use hands to finger, handle, or touch objects, tools, or controls; reach above shoulders; and communicate effectively through talking and listening.
  • Occasionally climb, stoop, kneel, crouch, crawl, or use foot/feet to operate equipment.

The Quality Control Document Coordinator works as part of the Quality Team and requires regular interaction with Production employees, supervisors, and other departments throughout the facility. This position requires balancing detailed administrative work with regular communication, coaching, training, and document review on the production floor.

The employee must be comfortable working in a fast-paced food manufacturing environment while maintaining a high level of accuracy, organization, and attention to detail. The employee may occasionally be exposed to environmental conditions including cold temperatures, extreme heat, humidity, noise, and other conditions commonly associated with a manufacturing facility.
