Job summary

Santa Fe County NM is seeking a data quality auditor for the Assessor’s Office to analyze and audit data entries and changes, ensuring an error-free environment.

Under supervision, you will log incoming correspondence, audit system data, prepare management reports, and assist with policy updates to improve efficiency in the assessment process.

Qualifications

  • High school diploma or GED.
  • Two (2) years of experience in professional work environment providing administrative office support.
  • Education may substitute for experience on a year for year basis.
  • Must complete I.A.A.O. course 101 within one-year probationary period.

Responsibilities

  • Adheres to NM State statutes and IAAO Industry best practices in all tasks.
  • Ensures all incoming correspondences are logged into a computer program for tracking.
  • Assists with assigning correspondence to the proper division requiring timely feedback.
  • Audits computer system data and supporting documents to identify problems and ensure corrections are addressed.
  • Maintains records and communicates anomalies to Assessor’s Office personnel.
  • Assists with maintaining and revising agency policy and procedures.
  • Collaborates with staff to support quality control measures.
  • Prepares reports for supervisors to monitor and improve efficiency.
  • Assists with annual audit process as requested.
  • Attends meetings and training as requested; performs other duties.

Job description

Primary Purpose

Under the general supervision of the Quality Control Manager or designee, this position assists with analyzing and auditing data and information that is being entered and/or changed in the Assessor’s Office databases to ensure an error-free environment.

Essential Job Functions
  • Adheres to NM State statutes and IAAO Industry best practices in all tasks.
  • Ensures all incoming correspondences are logged into a computer program so that all issues can be compiled, calculated and thoroughly tracked.
  • Assists with assigning correspondence to the proper division requiring timely feedback to be posted to the log.
  • Assists with and learns how to audit the computer system data and the supporting documents to determine whether a process is working or if a correction will eliminate the problem; ensures corrective actions have been addressed in a timely manner.
  • Maintains records effectively and provides feedback to Assessor’s Office personnel to correct any anomalies that could create problems.
  • Assists with maintaining and revising agency policy and procedures.
  • Collaborates with other departmental staff to assist with quality control measures.
  • Retains historical information to identify obvious errors and anomalies.
  • Assists with preparing reports for supervisors, supporting their use as management tools to monitor and improve efficiency in the assessment process.
  • Assists with annual audit process as requested.
  • Assists other staff within the office to ensure quality customer service. Attends meetings, seminars, workshops, and training as requested; assists the Quality Control Manager with projects as needed.
  • May assist with maintaining and revising agency policy and procedures.
  • Must complete all training as designated or assigned.
  • Performs other duties as directed or assigned.
Knowledge/ Skills
  • Knowledge of computers and electronic data processing and working knowledge of modern office practices and procedures.
  • Skill in learning how to operate various word-processing, spreadsheets, database and other software programs in a Windows environment including Proval, Ascend, AS400, and Pictometry.
  • Ability to work in a dynamic environment with changing priorities and critical deadlines; to independently plan, prioritize and organize work; to multi-task and work with minimal supervision.
  • Ability to be extremely organized; to focus on detail; to ensure no mistakes in calculations by self and co-workers; and to handle confidential material in a trustworthy manner.
  • Ability to learn how to present information clearly and concisely, both verbally and in writing; and to establish effective and tactful working relationships with associates and the public.
  • Ability to learn how to analyze data and produce reports.
Minimum Qualifications
  • High school diploma or GED.
  • Two (2) years of experience in professional work environment providing administrative office support.
  • Education may substitute for experience on a year for year basis.
  • Must be able to successfully complete I.A.A.O. course 101 within the one-year probationary period. Failure to do so may result intermination of employment.
Working Conditions

Work is performed in both an office setting and outdoors in varied weather conditions, with exposure to dust, fumes, airborne particles, and allergens. Occasional travel and overtime work may be required. May be required to travel. While performing the duties of this job, the employee regularly is required to stand, walk, and sit, reach with hands or arms, climb or balance; stoop, kneel, crouch, or crawl; and talk or hear. Clarity of vision at long and short distance is required. The employee is occasionally required to lift up to 20 pounds.

Conditions Of Employment

Selected candidate must submit to and pass a County paid pre-employment physical and drug/alcohol screening. Additionally, selected candidate must submit to and pass a county paid criminal background screening. Selected candidate must possess and maintain a valid New Mexico Class D Driver’s License as incumbent shall be appointed to drive a County vehicle during the performance of his/her duties. Shall be required to sign a “Confidentiality and Non-Disclosure” agreement upon employment.
