Job summary

Springer Nature is seeking a meticulous Publishing Assistant to join the Behavioral and Social Sciences journals team in a hybrid New York, NY or Jersey City, NJ setting. You will assist two Publishers and an Executive Publisher, handling contracts, communications, and portfolio logistics for about 50 journals.

This role offers learning opportunities in scholarly publishing, collaboration across departments, and exposure to policy guidance on ethics and open access.

Qualifications

  • Bachelor's degree required; a degree in a related field is a plus.
  • Excellent verbal and written communication skills in English; strong numerical and analytical abilities.
  • Proficiency with Microsoft 365 applications (Word, Excel, PowerPoint) and Google Looker.
  • Demonstrated ability to organize, prioritize, and manage multiple projects simultaneously.
  • Strong interpersonal awareness, with the ability to build relationships and communicate effectively with stakeholders at all levels.

Responsibilities

  • Understand publishing workflows and help journals meet annual targets for submissions, publications, and turnaround times.
  • Provide foundational support for journal portfolios, including preparing contracts, monitoring and requesting payments, and maintaining accurate internal records.

About the Role

We are seeking an organized, motivated, and enthusiastic individual to join our Behavioral and Social Sciences journals team as a Publishing Assistant. As Publishing Assistant, you will work with two Publishers and an Executive Publisher to provide vital administrative and project management support for a portfolio of approximately 50 Springer journal titles, providing best-in-class service to key thought leaders such as Editors-in-Chief, Editorial Board Members, society representatives, authors, and peer reviewers.
The role is wide-ranging and essential to the smooth running and growth of the journal portfolios, and is a great opportunity for a first or early-career role to learn the ropes of scholarly and scientific publishing.

This is a hybrid role based in New York, NY or Jersey City, NJ. This location supports effective collaboration with the team and aligns business needs.

Role Responsibilities
  • Understand publishing workflows and contribute to journals meeting annual targets for submissions, publications, and turnaround times, ensuring alignment with broader portfolio and business objectives.
  • Provide foundational support for journal portfolios, including preparing contracts, monitoring and requesting payments, and maintaining accurate internal records.
  • Deliver timely, accurate, and professional communication to Editors-in-Chief, Editorial Board members, society partners, authors, and reviewers, demonstrating strong interpersonal awareness and customer focus.
  • Prepare materials for team reports, conferences, and board meetings, utilizing PowerPoint, Looker, and other internal databases to support decision-making and reporting.
  • Participate in the communication and management of publishing policies and protocols, including plagiarism detection, AI-use guidance, open access policies, and publication ethics initiatives.
  • Collaborate effectively with colleagues across marketing, production, peer review management, finance, customer service, and other departments, demonstrating organizational savvy and the ability to build productive partnerships.
  • Monitor portfolio performance metrics and support financial processes, applying developing financial acumen to understand journal operations, budgets, and business drivers.
  • Liaise with Editorial Assistants and publishing colleagues across divisions to share best practices and identify opportunities to improve workflows, communications, and operational efficiency.
  • Adapt effectively to changing priorities, industry developments, and evolving publishing standards, demonstrating adaptability and a willingness to learn.
  • Contribute to cross-departmental projects and initiatives related to publication ethics, data transparency, open access policies, and other industry developments.
  • Support the team in managing urgent issues and escalations, remaining calm and solutions-oriented under pressure to assist with effective crisis management when required.
  • Evaluate and navigate multiple priorities, stakeholders, and publishing processes, demonstrating the ability to manage complexity in a fast-paced environment.
  • Maintain a positive and professional approach when facing challenges, setbacks, or competing demands, demonstrating resilience while delivering high-quality results.

US Annualized Base Salary Range: $45,000-$50,000. The salary offer may vary based on work experience, education, skill level and equity. The US salary range does not align with the salary ranges in other countries when converted to the currency of that country.
