POSITION: Clerk, Prothonotary Office

REPORTS TO: Prothonotary

POSITION OVERVIEW:

This is a constituent service classification providing clerical and office support for the day-to-day court operations for Somerset County Court of Common Pleas, Civil Division. The individual holding this position will be expected to perform with a high degree of professionalism, independence while exercising sound judgment and discretion under general direction and supervision by the office holder.

EDUCATION/EXPERIENCE:

Any combination equivalent to education and experience that provides the required skill and knowledge is qualifying. Typical qualifications would be equivalent to:

Completion of a high school or general equivalency diploma: AND

One (1) year experience performing moderately complex clerical or secretarial work.

An equivalent combination of education, experience, and/or training may be considered.

EMPLOYMENT STANDARDS:

To perform this job successfully, an individual must possess the ability to thoroughly grasp the principles and practices of the Civil Division. The individual must have excellent inter-personal, oral and written communication skills, must project a professional demeanor at all times, must have excellent computer and typing skills, must have previous legal experience with a knowledge of the Court system, must be well organized, accurate and detail oriented, must be self-motivated with the ability to work, effectively and productively, and independently.

The individual must have knowledge of accounting or bookkeeping, must be able to work calmly and productively under pressure, must have excellent telephone and people skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

An employee in this classification is responsible for performing assignments that are technical in nature, and are carried out in accordance with the administrative and personnel practices, procedures and precedents, specific goals and objectives and any applicable legal standards or regulations. Specific job duties include the following:

  • Process case information accurately and in accordance with Court rules
  • Post payments and issue receipts
  • Document and enter required information into computer
  • Deal directly with public and attorneys in courteous, knowledgeable fashion
  • Answer and screen incoming calls
  • Filing of all correspondence, orders, notes, etc.
  • Process daily mail
  • Process filings-docket entries in the following indexes: Civil, Divorce, Judgment, and Miscellaneous
  • Administer Oaths
  • Process passport applications
  • Perform a variety of recordkeeping functions
  • Image all documents
