Job summary

Advanced Engineering and Environmental Services, Inc. seeks a Proposal Coordinator to drive the proposal process from kickoff to submission, balancing 2–4 active pursuits with 2–4 week turnaround windows.

You’ll partner with technical staff, SMEs, and reviewers to craft compelling, compliant proposals that win bids. You’ll guide go/no-go decisions, develop schedules, and ensure content quality using Adobe Creative Suite, while maintaining brand standards and master resume files.

Qualifications

  • Bachelor’s degree in Communications, Marketing, Journalism, English, or related field.
  • Proficient in Adobe InDesign, Illustrator, and Photoshop, as well as Microsoft Word, PowerPoint, and Excel.
  • Ability to be flexible, maintain a positive attitude, and work collaboratively to develop a team environment.
  • Excellent communication, interpersonal, and organizational skills.
  • Demonstrated attention to detail with strong grammar, spelling, composition, and proofreading abilities.
  • Basic understanding of design principles.
  • Ability to multi-task, work under the pressure of a deadline-driven environment and occasionally work over-time to meet client needs.

Responsibilities

  • Lead and manage the proposal process from kickoff through submission, ensuring deadlines, quality standards, and compliance requirements are met
  • Support and guide the Go/No-Go process, assisting business leaders in making informed pursuit decisions
  • Facilitate proposal kick‑off meetings and coordinate input from Proposal Managers, SMEs, and reviewers
  • Develop outlines, schedules, and milestone plans to keep proposal teams on track
  • Review RFPs/RFQs to ensure all requirements are addressed and incorporated
  • Coordinate technical content, resumes, project descriptions, and supporting materials
  • Use Adobe Creative Suite to layout proposals, create graphics, and maintain brand standards
  • Collaborate with the team on pursuit strategy, differentiators, and positioning
  • Support interview preparation, including interview strategy, presentations, and leave-behind materials
  • Help maintain proposal archives, CRM entries, and master resume files
  • Step in to support team members during peak deadlines—this is a true team‑first environment

AE2S is seeking a Proposal Coordinator to join our growing Proposals team. This role is ideal for someone who has a passion for driving the proposal process, managing multiple deadlines, and crafting compelling, well-designed proposals that help win meaningful engineering projects.

At AE2S, proposals are not just about formatting. They’re about storytelling, strategy, and collaboration. You’ll work across disciplines, partnering closely with technical staff, and play a key role in positioning AE2S for success.

As a Proposal Coordinator, you’ll own proposals from start to finish, typically juggling 2-4 active pursuits at a time with turnaround windows ranging from 2-4 weeks.

Compensation and Total Rewards
The anticipated salary range for this position is:

  • $59,400 - $72,600
    • This salary range represents AE2S's good-faith estimate at the time of posting. Actual compensation will be determined based on factors such as experience, technical expertise, licensure, certifications, education, geographic location, internal equity, and business needs.

Basic Qualifications

Preferred Qualifications
  • Proficient with CRM (Deltek, Vantage Point preferred).
  • 2-5 years’ experience with proposals, ideally in an AEC firm.
  • Strong interest in learning about the engineering industry.
Physical Requirements
  • Primary functions require physical ability and sufficient mobility to work in an office setting
  • Ability to stand or sit for prolonged periods of time
  • Occasionally stoop, bend, kneel, crouch, reach, and twist
  • Occasionally lift, carry, push, and pull light to moderate amounts of weight
  • Operate office equipment requiring repetitive hand movement
  • Fine coordination including the use of a computer keyboard
  • May require lifting and carrying up to 20 pounds, with rare lifting of up to 50 pounds
  • May require occasional evenings and weekends with overtime expectations varying with workload
  • May be required to travel to off‑site locations including occasional overnight stays out of town
