Job summary

KW Property Management & Consulting in Florida seeks a Property Manager to lead community operations. You will liaise with boards, manage budgets, and ensure contractual compliance while supervising on-site staff.

The role requires a CAM license, a valid Florida driver’s license, and bilingual English/Spanish abilities in some locations. This full-time exempt position offers local travel and standard office environment.

Qualifications

  • Strong working knowledge of customer service principles and practices.
  • Ability to read, analyze, and interpret technical procedures, leases, regulations, or documents of similar complexity.
  • Proficient in Microsoft Office applications.
  • Valid FL CAM license.
  • Valid FL Driver’s license.
  • Flexibility to work extended periods, including nights and weekends.
  • Ability to react and address emergency situations in a timely manner.
  • Bilingual in English and Spanish (some locations).

Responsibilities

  • Serve as the primary liaison between KW Property Management, the client, and internal support staff, projecting a professional and competent image.
  • Work closely with the Association Board of Directors and/or the Developer to manage and operate the community and to facilitate solutions to problems within the community.
  • Provide customer service in a friendly, outgoing manner, ensuring timeliness and professional appearance.
  • Act as the company’s primary coordinator to assure that company efforts fully meet and exceed contractual property management obligations.
  • Prepare annual budget for the association.
  • Analyze and distribute monthly financial statements, including operating variances from budget, cash management, and strategies for collection of receivables.
  • Maintain complete and accurate property files and records, coordinating with headquarters support staff on procedures for processing and distributing information.
  • Provide prompt, detailed and accurate general status reports on all properties assigned.
  • Supervise on‑site team members, developing specifications and evaluating service needs and performance in all maintenance and management areas.
  • Encourage staff to behave professionally and comply with company safety standards; motivate teamwork.
  • Establish collaborative relationships between departments, coworkers, and project team members; prepare for team meetings and act as chairperson.
  • Acquire and maintain current knowledge of state and regulatory statutes, client community documents, policies, and procedures.
  • Initiate contact with new resident representatives to coordinate the move–in process, provide orientation, and review building rules.
  • Set and adhere to high performance standards; follow up personally to ensure service delivery.
  • Respond to phone calls and correspondence in a timely and professional manner.
  • Maintain a professional relationship with the Board of Directors, unit owners, and vendors.
  • Run Board meetings when necessary according to Roberts Rules of Order.
  • Create management reports outlining administrative items, financial overview, property condition, project progress, and recommendations.
  • Prepare professional presentations of reports, action plans, budgets, bid analysis, etc.
  • Support KWPM’s core values, philosophy, and goals while adhering to KWPM policies.
  • Organize time effectively and balance competing demands of multiple projects.
  • Attend monthly Manager’s meeting.
  • Maintain and upload all documents into the management support systems accurately and update accordingly.
  • Monitor contracts regularly, evaluate and negotiate effectively, and ensure vendors provide certificates of insurance and business licenses.
  • Maintain accurate records, files, and communication for the Association office, organizing all items per company standards.
  • Update association communication regularly—menu boards, newsletters, website.
  • Process violations, work orders, architectural control applications, lease applications, and sale applications on a monthly basis.
  • Manage assets cash balances and fund availability for projects; oversee cash flow for capital improvement.
  • Monitor aging reports, timely legal action, and update the collection module.
  • Keep equipment maintenance logs, inventory, and preventive maintenance manual up‑to‑date quarterly.

Work Environment

This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

Regularly required to talk or hear. Frequently required to stand, walk, use hands, and reach. The employee will need to walk the property on a daily basis, which may include climbing stairs.

Position Type & Expected Hours

This is a full‑time exempt position. Days and hours of work are Monday through Friday. Business hours will be determined by the client’s needs.

Travel
