Job description

Overview

The Property Manager acts as the key liaison between the client (KW Property Management), internal support staff, the Association Board of Directors and/or the Developer to manage and operate the community. The role focuses on delivering professional, friendly customer service, timeliness, and a professional appearance.

Responsibilities
  • Act as the company’s primary coordinator on assigned properties to ensure performance meets and exceeds contractual property management obligations.
  • Prepare annual budgets for the association and analyze monthly financial statements, including operating variances from budget, cash management, and strategies for collection of receivables.
  • Maintain complete and accurate property files and records; coordinate with headquarters support staff on management company procedures; provide prompt, detailed, and accurate general status reports on all properties.
  • Supervise on-site staff; develop specifications and evaluate service needs and performance in maintenance and management; promote professional behavior and safety compliance; motivate staff to work as a team.
  • Establish and maintain collaborative working relationships across departments and with project team members; prepare for and chair team meetings as needed.
  • Maintain current knowledge of state statutes and client community documents, policies, and procedures.
  • Coordinate move-in processes with new resident representatives; provide orientation and review building rules and available services.
  • Respond to phone calls and correspondence in a timely and professional manner; maintain professional relationships with the BOD, unit owners, and vendors.
  • Lead or facilitate Board of Directors meetings when necessary in accordance with Roberts Rules of Order.
  • Prepare and present management reports, including updates on administrative items, financial overviews, property condition, and project progress; provide clear recommendations.
  • Prepare professional presentations of reports, action plans, budgets, and bid analyses; support the company’s values and policies.
  • Organize time effectively to balance multiple projects; attend monthly Manager’s meetings; maintain and upload documents into management support systems accurately.
  • Monitor contracts, negotiate where appropriate, and ensure vendors carry appropriate insurance; obtain required licenses and update documents accordingly.
  • Maintain accurate records, files, and communication; update association communications (menus, newsletters, website) regularly.
  • Process violations, work orders, architectural control applications, lease applications, and sale applications monthly as required.
  • Manage cash balances and project funding; monitor aging reports, legal actions, and collection modules timely.
  • Maintain equipment maintenance logs and update preventive maintenance manuals quarterly.

  • Ability to react to emergencies in a timely manner; some locations require bilingual English/Spanish.

Work Environment

This job operates in a professional office environment. It routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

Position Type / Hours

This is a full-time exempt position. Typically Monday through Friday; hours determined by client needs.

Travel

Occasional local travel for training and meetings.

Required Education and Experience

  • Ability to read, analyze, and interpret technical procedures, leases, regulations, or documents with similar complexity.
  • Proficiency with Microsoft Office applications.
  • Florida CAM license and valid Florida driver’s license.
