Urban Land Interests, Inc. in Madison, WI is seeking a proactive Property Manager to lead residential operations. You will manage occupancy, budgets, leasing, maintenance, and resident relations to ensure exceptional service.

The role requires 2–3 years in property management or customer service, a high school diploma (college degree preferred), and proficiency in Yardi and MS Office. CAM/ARM is a plus; a valid driver’s license is required.

Responsibilities

  • Develop strong rapport through quality customer service and effective communication while enforcing company and community policies.
  • Ensure resident requests or complaints are responded to in a timely, efficient, and courteous manner and resolved per policy
  • Oversee move-ins/move-outs with attention to inspections, charges, and scheduling to prepare units for occupancy
  • Follow lease renewal process and meet budgeted retention goals
  • Maintain resident files per company procedure, including data in Yardi
  • Implement, design, and maintain a resident retention program (newsletters, referrals, social activities)
  • Report unusual circumstances to Senior Property Manager
  • Inspect grounds and common areas, coordinate with maintenance for timely work orders and safety compliance
  • Obtain bids from vendors under Senior Property Manager direction
  • Ensure rent collection per policy and manage delinquent accounts
  • Input and maintain lease/financial data in Yardi; assist with annual budget creation
  • Support Leasing with marketing plans, tours, and lead follow-up
  • Ensure compliance with Fair Housing laws and OSHA policies
  • Maintain relationships with residents, employees, vendors, and external agencies
  • Perform other duties to support economic success of Urban Land Interests

Job description

  • Develop strong rapport through quality customer service and effective communication while enforcing company and community policies.
  • Ensure that all resident requests or complaints are responded to in a timely, efficient, and courteous manner. Resolve all resident issues/concerns to best of their ability while following company policy.
  • Oversee all details of move-ins/move-outs, giving special attention to apartment inspection reports, monitoring for timely completion, accurate charges and timely scheduling to prepare vacant units for occupancy and meeting security deposit requisition deadlines per state code.
  • Follow lease renewal process and meet budgeted retention goals.
  • Ensure that resident files are complete and maintained per company procedure. This includes all resident data within Yardi.
  • Responsible for implementing, designing, and maintaining a resident retention program to include newsletters, resident referral incentive, and social activities.
  • Report any unusual, extraordinary circumstances regarding the residents or the property to the Senior Property Manager.
Facilities Management
  • Regularly inspect grounds, common areas, vacant units, and office recording deficiencies and work with Senior Property Manager to take necessary action within budget constraints.
  • Perform thorough move-out inspections with accurate and detailed documentation. Move-outs typically occur at the end or beginning of each month, so you will be expected to complete inspections whenever your building has a scheduled move-out. This may require occasional weekend work, depending on when the end or beginning of the month falls.
  • Work with maintenance, and janitorial personnel to ensure work orders are completed in a timely manner.
  • Report accidents and emergency situations to the Senior Property Manager.
  • Obtain bids from vendors under direction of Senior Property Manager.
Financial Operations
  • Ensure the collection of rent payments per company procedure.
  • Handle delinquent accounts by sending balance statements and issuing 5-day and/or 14- day notices as necessary.
  • Input and ensure accurate information into Yardi to track and maintain lease and financial transactions of the property.
  • Assist the Senior Property Manager in annual budget creation.
Leasing and Marketing
  • Aid Senior Property Manager in developing an effective marketing plan to help the community achieve occupancy goals.
  • Utilize and maintain CRM/Rent Cafe system to ensure report accuracy and lead follow-up completion.
  • Maintain and ensure accuracy of property availability board.
  • Ensure accuracy and completion of prospect rental applications. Oversee processing of lease applications and is responsible for approving/denying applicants based on company policy and procedure.
  • Shop competitor properties to understand ULI’s position within the downtown Madison market.
  • Help the Leasing team with tours and phone coverage when needed.
  • Maintain a positive working relationship within the community, with employees, owners, vendors and outside agencies to help positively promote Urban Land Interests.
  • Follow and ensure compliance of all Fair Housing laws.
  • Demonstrate thorough knowledge and ensure compliance with company policies and procedures. Document and advise the Senior Property Manager of any inconsistencies.
  • Ensure that all personnel in all departments operate within OSHA standards and company safety policies at all times.
  • Perform other duties which may be required to ensure economic success of Urban Land Interests as necessary.
QUALIFICATIONS & DESIRED EXPERIENCE
  • 2-3 years in Property Management or a Customer Service-related field required.
  • High School education is required. College degree in business, communication, marketing or related field preferred
  • ARM or CAM a plus.
  • Service mindset with a commitment to delivering a white-glove customer experience.
  • Ability to communicate confidently with employees, residents, vendors, executives, and community stakeholders.
  • Strong problem-solving skills with the ability to make sound decisions in a fast-paced operational environment.
  • Must possess a positive attitude and have the ability to work well under pressure. Has conflict resolution skills.
  • Competence in Microsoft Office Suite including Word, Excel, and Outlook. Experience with Yardi and Adobe a plus.
  • Highly organized with good attention to detail. Strong ability to prioritize responsibilities and time.
  • Valid driver's license with a clean driving record.

This role offers a base pay rate of $26-$30 per hour, along with an annual bonus incentive and a competitive benefits package. Compensation is determined based on several factors, including job-related knowledge, skills, and experience, which may impact the final offer.

Property Managers are responsible for the day-to-day operations of the Residential properties including but not limited to meeting occupancy goals, financial reporting and rent collection, facilities management, resident relations, marketing efforts, and managing the operating budget under the direction of the Senior Property Manager.
