Job summary

Spectraforce Technologies is seeking a senior Project/Program Manager to join the Infrastructure PMO in Chicago, onsite three days per week for a four-month engagement. The role requires 10+ years of experience delivering major IT infrastructure programs, with strong PMO, governance, and risk management skills, and a proven ability to lead cross-functional teams in a matrix environment.

Responsibilities

  • Update program governance, charters, and resourcing plans.
  • Facilitate planning meetings and draft project plans.
  • Run stakeholder workshops to identify milestones and risks.
  • Collect status updates and escalate risks to leadership.
  • Maintain risk, issue, dependency, and resource docs.
  • Prepare PMO tracking updates (Clarity/ADO) for mgmt.
  • Prepare program health reports for Steering committees.
  • Design status dashboards and templates for program progress.
  • Manage centralized Bedrock reporting process.
  • Oversee program change control and budget reporting.
  • Draft/update PMO procedures for recurring processes.
  • Coordinate across stakeholders and ensure IT controls compliance.

Job description

Title: Project/Program Manager

Duration: 4 months

Location: Chicago, IL - onsite 3 days per week

Contractor's Role:

Technology Resiliency Infrastructure Program Manager/ Program Management Office (PMO)

Experience Level:

Level 3, minimum of 10+ years experience

Qualifications (Must Haves):
  • Experience working in a program or portfolio office (PMO)
  • Experience leading infrastructure technology projects and leading teams to execute highly complex initiatives of significant scope, scale and risk to successfully deliver project objectives and benefits.
  • Program/project management expertise including working knowledge and application of Waterfall, Hybrid and/or Agile methodologies.
  • Skillful in adopting corporate project management standards (which incorporate PMI standards), IT controls, risk and regulatory requirements.
  • Results oriented and bias for action and execution.
  • Sound problem-solving and analytical skills.
  • Adept at navigating a matrixed environment, influence, inform, and collaborate with all levels of the organization.
  • Strong communication skills to effectively share information, collaborate and drive results ensuring appropriate level of engagement from all members of the project team.
  • Ability to easily process information from various sources and simplify the complex.
  • Excellent organizational skills and ability to manage multiple priorities and meet deadlines.
  • Self-starter with an ability to operate in a fast-paced environment and manage ambiguity.
  • Thrive in a team environment and work well with others.
  • Familiarity working with PPM Tools such as Clarity and other tools including Service Now, Jira, Azure DevOps, etc.
  • Solid working knowledge of MS Office Suite including MS Project, SharePoint, and Teams, etc.
Nice to Haves:
  • Experience in a large financial services firm or highly regulated industry a plus
  • Experience leading application development initiatives
  • PMI Project Management Professional (PMP) or Agile Certified Practitioner (ACP) certification.
Tasks & Responsibilities:
Member of a Program Management Office assisting with program management support by performing the following activities:
  • Update program level operating model (as needed) to defining the Program Governance process, workstream charters and plans, define program roles and responsibilities, and develop program resourcing plans
  • Facilitate planning meetings with stakeholders to facilitate review and finalization of Program-related project plans, and related resource and budget estimates.
  • Facilitate meetings / workshops with stakeholders to identify high-level project accomplishments and challenges.
  • Gather status updates and information from Workstream Leads and Project Managers, prepare draft status reports based on the updates and information received, and **escalate to the leadership team program updates, risks, issues and key escalations identified.**
  • Working with Workstream Leads and Project Managers to: (i) update and maintain the program risk, issue, dependency, decision, and resource management documentation, and (ii) escalated items, when needed.
  • Working with Workstream Leads and Project Managers prepare draft central PMO tracking updates (i.e., Clarity/ADO) to support management/tracking of key workstreams, projects, key milestones/deliverables.
  • Lead the preparation of defining and drafting materials communicating program health, key decisions, actions, risks and other material program updates for NT's governing bodies (e.g., Steering Committee, Executive Management Committee) and internal and external stakeholders
  • Assist with designing status reporting dashboard(s) and/or status report templates to support the presentation of Program progress.
  • Create and support the management of a centralized Bedrock reporting process
  • Manage intake and reporting of the Program change control process.
  • Manage intake, management and reporting of the Program dependency management
  • Manage review and reporting of Program Budget and Benefit Realization
  • Draft new or updated PMO procedures document(s) that include steps for project managing key recurring PMO processes.
  • Assist with program specific coordination and communication across involved stakeholders
  • Ensure adherence to NT project standards, IT controls, risk and regulatory requirements.
