Job summary

Qualifications

Responsibilities

  • Manage medium to large projects from conception to post go-live support.
  • Develop a project charter with scope, timelines and objectives.
  • Continuously analyze project progress and adapt scope, timelines, or resources to safeguard project health.
  • Identify resource needs and coordinate with departmental leadership across shared services.
  • Collaborate with business partners, vendors, and cross-functional teams to drive adoption of deliverables.
  • Maintain transparent communication with stakeholders, providing updates, metrics, and risks.

The University Services Project Management Office (PMO) is looking for a Project Management 2 Professional & Administrative (P&A) professional to join our team! The individual in this role will support medium to large scale projects for a variety of University Services divisions. In this role you will plan and manage all aspects of assigned projects. Ideal candidates have the ability, knowledge and skills for analyzing business processes, systems and applications with the objective of improving and/or automating the work. The position is responsible for executing projects assigned to them and ensuring they are supporting University Services' initiatives. This position interacts with a variety of business lines across University Services.

Major Responsibilities
  • Manage medium to large projects of moderate to high complexity from conception, through implementation and hypercare / post go live support, ensuring delivery on time, within budget, and in alignment with unit strategic objectives.
  • Develop a project charter with guidance and approval from the project sponsor, formulating scope, timelines and defining objectives that actively integrate diverse stakeholder perspectives across the organization.
  • Continuously analyze project progress, taking early initiative to adapt scope, timelines, or resources to safeguard project health and ensure long-term viability.
  • Identify resource needs and partner with departmental leadership across shared services to secure adequately skilled team members, ensuring they have the autonomy, support, and tools required to deliver on project commitments.
  • Collaborate effectively with business partners, vendors, and cross-functional teams to build alignment, cultivate strong working relationships and drive universal adoption of project deliverables.
  • Maintain consistent, transparent communication with key stakeholders and leadership, providing regular updates, reporting project outcomes, metrics and risks.
  • Document detailed business requirements and functional/technical process maps with accuracy, seeking creative solutions that bridge technical capabilities with business goals.
  • Lead end-to-end process change initiatives-from current-state analysis through future-state design-proactively identifying opportunities to modernize, streamline and scale operations.
  • Collaborate with business process owners, equipping them with the knowledge and confidence to independently manage and operate optimized workflows long-term.
  • Support process owners in designing standard operating procedures, delivering engaging user training, developing accessible documentation and tailored communications to ensure smooth adoption across all impacted audiences.
  • Assist the project team in developing and executing rigorous test plans to ensure solutions are reliable, high-quality and fit for purpose before rollout.
Work Environment

The work is primarily performed on a large, urban University Campus. This position is a hybrid position requiring the incumbent to be on campus two days a week. Meeting modalities include in-person and Zoom.

Qualifications
Minimum Qualifications
  • BA/BS plus at least 2 years of experience, or master's degree
  • 4 years of work experience in the areas of business or systems process analysis with a non-related degree
Preferred Qualifications
  • Demonstrated ability to deliver projects in a complex, multi-stakeholder environment within scope, timeline, and budget
  • Hands‑on experience and understanding of project implementations, project structure (both formal and informal), project life‑cycle, and best practice standards
  • Proven ability to navigate the unique culture, cross-functional matrix, and stakeholder dynamics of a large-scale land‑grant institution.
  • Strong verbal and written communication including solid meeting facilitation skills
  • Proven ability to effectively build and maintain relationships with stakeholders and sponsors.
  • Understands the university structure and that projects are focused on implementing in a service organization

Pay and Benefits

Pay Range: $85,000 - $100,000; depending on education/qualifications/experience

Time Appointment: 100% Appointment
