Job Summary:

The Project Coordinator will primarily support project management efforts through planning, execution, and completion of projects. This role involves managing project documentation, budgets, material procurement, and vendor relations to ensure projects are completed on time and within budget. The individual will also assist the industrial maintenance team when necessary, especially during slower periods or as needed in the field. This position offers a blend of administrative coordination and hands-on industrial maintenance tasks, with opportunities for cross-training in industrial maintenance knowledge.

Key Responsibilities:

Project Coordination Responsibilities:

  • Gather and document project details, including dates, workforce requirements, and budgets from the Project Manager.
  • Submit and track employee time and attendance, ensuring accurate charges to the project.
  • Assist in sourcing, pricing, and ordering materials, ensuring timely delivery to job sites.
  • Prepare and maintain customer billing documentation including sales orders, invoices, and POs.
  • Manage rental equipment logistics, including procuring, tracking, and returning equipment.
  • Correspond with fabrication shops to ensure timely delivery of items for job sites.
  • Support purchasing of machine shop materials, including obtaining quotes.
  • Act as an onsite point of contact when necessary to resolve issues with clients, contractors, and engineers.
  • Help prepare financial documents, reports, and budgets.
  • Estimate labor requirements and assist in managing and coordinating industrial maintenance activities.
  • Analyze forecasting data to aid in decision-making.
  • Communicate organizational information, policies, and procedures to project stakeholders.
  • Assist the Project Manager with various administrative tasks as needed.

Industrial Maintenance Helper Responsibilities:

  • Assist in the setup and maintenance of industrial equipment and machinery.
  • Perform routine inspections, lubrications, and adjustments on plant equipment as directed.
  • Help diagnose and troubleshoot mechanical or electrical issues in the field.
  • Provide hands-on support in maintenance tasks such as repairs, part replacements, and general equipment upkeep.
  • Assist with general cleaning and organizing of maintenance areas.
  • Operate and maintain basic maintenance tools and machinery under supervision.
  • Be available to perform hands-on work when needed, especially during periods of reduced project coordination activity.

Education:

  • High School Diploma or GED required.
  • Further education or certification in industrial maintenance or project management is a plus.

Experience:

  • Prior experience in industrial maintenance or mechanical fields is a plus.
  • Experience with project management or coordination is highly desired.
  • Basic knowledge of construction or industrial environments is required.
  • Experience with Microsoft Project or similar project management software is an advantage.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong communication skills with the ability to work with diverse teams and clients.

Work Location and Travel:

  • This position is primarily located in Clewiston, Florida 33440.
  • The position may require occasional travel to offsite meetings or vendor locations.

Work environment:

  • Primary work location is a cubical or office workstation in a shop environment.
  • The position will also require working at customer industrial locations where hazards may include heavy equipment, chemicals, and machinery.
  • Industrial work environments are safety-sensitive and require strict adherence to safety protocols.
  • Must be able to work in outdoor and indoor conditions, including variable weather.

Physical Requirements:

Talk/Hear: Must have the ability to communicate information and ideas so others will understand. Communicate information and ideas clearly when speaking.

Stand/Sit: The person in this position needs to sit for extended periods to drive to customer locations. Must be able to stand to make customer presentations.

Walk: Occasionally be able to walk distances to tour customer facilities and projects and move about on varying and uneven terrains.

Use hands/fingers to handle or feel: Often operates a computer to perform general office duties.

Climb: Occasionally may need to climb ladders or stairs to see customer projects.

Stoop, kneel, crouch or crawl: People in this position occasionally need to stoop, kneel, crouch or crawl.

See: The person in this position must see well enough to drive to customer locations, safely navigate varying and uneven terrains, and view job details to make informed business reports and decisions.

Carry, weight, Lift: The person in this position occasionally be able to lift and carry up to 25lbs.

Exposure to work: Considerable time will be spent in processing environments both in and outdoors. Environments can be loud, dusty, hot, or cold.
