Responsibilities:
- Serve as a primary administrator and coordinator for the PMO project portfolio.
- Support portfolio tracking and governance processes across approximately 130 active projects.
- Maintain project records, documentation, schedules, dashboards, and reporting artifacts.
- Ensure project data is accurate, complete, and aligned with PMO standards.
- Assist with portfolio reviews, reporting cycles, and leadership updates.
- Support OnePlan, the organization's Enterprise Project Portfolio Management (PPM) platform built on Microsoft Power Platform and Microsoft 365.
- Assist project teams with project setup, data maintenance, status updates, and system administration activities.
- Generate reports, dashboards, and portfolio insights for PMO leadership.
- Troubleshoot user questions and coordinate enhancement requests as needed.
- Leverage Microsoft-based project management tools and processes to improve efficiency and visibility.
- Conduct regular project audits to validate schedule accuracy, status reporting consistency, risk and issue tracking, project metadata completeness, and governance compliance.
- Identify data discrepancies and work with Project Managers to resolve issues.
- Monitor adherence to PMO standards, processes, and reporting requirements.
- Support governance reviews and portfolio health assessments.
- Coordinate project lifecycle surveys and feedback initiatives.
- Manage post-project surveys to capture stakeholder feedback on scope clarity, execution effectiveness, collaboration, delivery outcomes, and satisfaction.
- Consolidate survey results and provide reporting and recommendations to PMO leadership.
- Support continuous improvement initiatives across the project portfolio.
- Schedule and coordinate project, portfolio, and PMO meetings.
- Partner with PMO leadership to manage calendars, agendas, materials, and follow-up activities.
- Attend meetings to capture notes, decisions, risks, and action items, and track completion.
- Support Project Managers with administration, planning, status reporting, milestone tracking, and deliverable management.
- Facilitate communication across multiple project teams and stakeholders.
Experience Requirements:
- 2+ years supporting project management, PMO operations, project coordination, or portfolio administration.
- Strong organizational skills with attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong technical aptitude with ability to learn new systems and processes quickly.
- Experience with tools such as Microsoft Project, Smartsheet, Jira, OnePlan, or similar platforms.
- Proficiency with Microsoft 365 applications including Excel, PowerPoint, Teams, Word, and Outlook.
- Strong written and verbal communication skills.
- Ability to track commitments, follow up on action items, and drive accountability.
- Preferred: Experience supporting an enterprise PMO or portfolio management function.
- Preferred: Exposure to OnePlan, Microsoft Power Platform, or Enterprise PPM systems.
- Preferred: Experience with portfolio reporting, project governance, or auditing activities.
- Preferred: Familiarity with Waterfall, Agile, or Hybrid methodologies.
- Preferred: Experience in technology, engineering, manufacturing, or semiconductor environments.
Education Requirements:
- Bachelor's degree or equivalent professional experience.
Skills, experience, and other compensable factors will be considered when determining pay rate. The pay range provided in this posting reflects a W2 hourly rate; other employment options may be available that may result in pay outside of the provided range.
