GENERAL STATEMENT OF DUTIES: To assist the head of a department, agency, or division by relieving such superior of complex administrative duties and responsibilities that are directly related to the primary function of the agency and purpose of the work of said superior; and to do other related work as required.

SUPERVISION RECEIVED: Works under the general supervision of a superior; work is subject to review.

SUPERVISION EXERCISED: Usually none.

ILLUSTRATIVE EXAMPLES OF WORK PERFORMED:

  • Perform complex administrative support functions within a public safety organization, utilizing enterprise software systems with common business applications and a wide variety of office equipment and computer software applications, including word processing, spreadsheets, and other contemporary office programs and equipment.
  • Manage the Division’s website, social media platforms, including updates, edits, and content creation.
  • Assist the Division’s Community, Diversity & Equity Unit and Officer with the coordination, scheduling, and tracking of community outreach events and Division recruitment campaigns and various initiatives.
  • Assist the Division’s Director of Training and the Training Academy with administrative and operational support, to include management of software applications or platforms used for recruitment, hiring, training certification tracking and training records management & compliance.
  • Coordinate professional development and training activities, including registration, travel, lodging and other logistical arrangements.
  • Coordinate and process critical expense requests related to assigned duties and responsibilities.
  • Generate involved statistical statements, reports, legal documents letters, memoranda, and other materials utilizing the appropriate office software application, enterprise software system, or from drafts/handwritten copy.
  • Answer in-person, telephone, or email inquiries for the organization and respond appropriately.
  • Check records and documents for accuracy and completeness.
  • Collate and assemble documents/materials.
  • Type standardized forms such as invoices, personnel action forms, etc.
  • Maintain a calendar/schedule of and schedule appointments for superiors.
  • Assign codes to records (certain record fields) utilizing established definitions and procedures.
  • Maintain alphabetic or numeric files.
  • Prepare statistical tables, graphs, charts, or other graphical materials.
  • Set up internal/external meetings for a superior/group.
  • Research files and other records to obtain information, as requested.
  • Establish/Prepare new or revise existing office procedures/methods.
  • Proofread correspondence and other typed material.
  • Locate and extract cards/documents from files.
  • Select files to transfer to storage.
  • Maintain and requisition office supplies in compliance with the organization's and state purchasing protocols.
  • Contact vendors/designated repair persons to request/schedule and maintain office equipment.
  • To do related work as required.

REQUIRED QUALIFICATIONS FOR APPOINTMENT:

KNOWLEDGES, SKILLS AND CAPACITIES: A working knowledge of the software and hardware utilized for word processing, particularly the keyboard and skill (speed and accuracy) in using them; knowledge, skills, and abilities necessary to administer and maintain a departmental website; skill in taking dictation and the ability to transcribe from notes as well as from machine record; a working knowledge of the function and usage of at least one non-text processing (i.e. spreadsheet, database, multi-purpose, etc.) software package; a working knowledge of office methods, practices, procedures, and terms; a working knowledge of business English; the ability to maintain effective working relationships, and other related KSAO’s.

EDUCATION AND EXPERIENCE:

Education: Graduation from high school. College degree preferred.

Experience: Considerable employment in a position involving the performance of responsible clerical tasks, including word processing, stenography, the usage of at least one non-textual software package, and the performance of responsible office tasks.

Strong computer skills with MS Office (Word, Excel, Outlook, PowerPoint, Access), to include the capabilities to create and manage excel spreadsheets. Following appointment, must successfully complete a 130-day probationary period.
