Job summary

Qualifications

  • Minimum of two years experience in a Project Assistant or Coordination role.
  • Construction or related trade industry experience preferred.
  • Trade school or industry-related education preferred.

Responsibilities

  • Coordinate and schedule field manpower across multiple projects.
  • Assist Project Managers with project documentation and tracking.
  • Serve as a liaison between Project Managers and clients.

Pay Range: $25 – $45 per hour, (DOE) FLSA non-exempt (OT eligible).

Labor Coordination & Dispatch
  • Coordinate and schedule field manpower across multiple projects and service needs.
  • Confirm job readiness with clients prior to dispatching field teams.
  • Adjust schedules in real-time to address changing priorities, delays, or field conditions.
  • Provide labor forecasting based on active and upcoming workload.
Project & Administrative Support
  • Set up and maintain jobs in project management and accounting systems.
  • Assist Project Managers with project documentation, contracts, and job tracking.
  • Support bid and proposal preparation, including tracking addenda and deadlines.
  • Create and maintain submittals, job binders, and project manuals.
  • Assist with procurement of materials and equipment, including issuing purchase orders and tracking deliveries.
  • Maintain accurate and organized job files throughout the project lifecycle.
  • Support job closeout activities, including documentation and coordination with subcontractors.
Communication & Coordination
  • Serve as a liaison between Project Managers, field technicians, vendors, clients, and internal departments.
  • Communicate scheduling updates, job status, and critical project information to all stakeholders.
  • Collaborate with billing and accounting teams to support timecard entry and invoicing processes.
Additional Responsibilities
  • Assist with budget tracking and project cost support.
  • Perform additional duties and special projects as assigned.

What You Bring

  • Experience: Minimum of two (2) years of experience in a Project Assistant, Administrative, Dispatch, or Coordination role. Construction, HVAC, plumbing, refrigeration, or related trade industry experience preferred. Strong customer service experience.
  • Education: High school diploma or equivalent certification. Trade school or industry-related education preferred
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook). Experience with project management, scheduling software, and ERP systems (Sage/Timberline preferred)

Physical Requirements

This office position requires the ability to sit for extended periods while working at a computer. Candidates must have the ability to perform repetitive tasks such as typing and using a mouse. Occasional standing, walking, bending, and reaching are necessary. The role also requires good manual dexterity and hand-eye coordination for handling office equipment weighing up to 20 pounds. The ability to communicate clearly and effectively, both verbally and in writing, is essential.
