Position Overview
We are seeking an organized, detail-oriented, and proactive Project Coordinator to provide administrative support to our project management teams. This position plays an important role in keeping projects organized and maintaining accurate documentation.
The ideal candidate thrives in a fast-paced, deadline-driven environment and has experience supporting multiple projects simultaneously. This individual will work closely with Project Managers, technical professionals, accounting teams and branch managers to help ensure projects progress efficiently from initiation through completion.
Responsibilities
- Maintain accurate electronic project files and ensure documentation is complete, current, and properly organized.
- Monitor project budgets, billing status, purchase orders, and othe administrative project information.
- Assist with branches with reviewing project financial information and identifying discrepancies requiring attention.
- Respond to email requests promptly and route technical questions to the appropriate team member.
- Track outstanding reports, documentation approvals, and other project deliverables to support timely completion.
- Monitor and maintain accurate project and client information with company systems.
- Maintain confidentiality of client, project, employee, and company information.
- Perform additional administrative and project-related responsibilities as assigned
Qualifications
- Associate’s or Bachelor’s degree in Business, Project Management, or a related field preferred.
- 2+ years of experience in project coordination, administrative support, or operations within a technical or service-based industry.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with project management software (e.g., MS Project, Smartsheet, Monday.com) is a plus.
- Excellent verbal and written communication skills.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Familiarity with engineering, construction, or environmental services terminology and workflows is preferred.
Preferred Qualifications
- Previous experience within the AEC, engineering, construction, environmental consulting, geotechnical, or materials testing industry.
- Experience with ERP project accounting systems such as Deltek Vantagepoint or similar platforms.
- Familiarilty with project set up, contract administration, billing cycles, and project financial reporting.
- Experience compiling technical reports and coordinating client deliverables
Travel Requirements
This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.

- This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
- The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
- The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
- The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
