Job summary

Keller Management Services, LLC is seeking an experienced Project Coordinator in Las Vegas, NV to support the preconstruction and project delivery phases. You will communicate with clients, assist with pre-bid activities, manage documents, and track opportunities.

The role requires 2–3 years of project coordination experience and a Bachelor's degree. Proficiency with MS Office and project tools is expected; AutoCAD and Groundworks experience are a plus.

Qualifications

  • 2-3 years of experience in project coordination or management within a related field.
  • Proven ability to collaborate with Project Managers to ensure successful project delivery.
  • Strong client-facing and internal communication skills, both written and verbal.
  • Exceptional organizational skills with attention to detail and the ability to manage multiple priorities.
  • Proficiency in Microsoft Office and familiarity with project management tools.
  • Bachelor’s degree in a related field required.

Responsibilities

  • Communicate with clients to identify and define project requirements, scopes and bid intent.
  • Assist with pre-bid qualifications and bidders list.
  • Check ITBs for scope; search for potential projects.
  • Complete initial screen, project proposal template, and initial estimate (if applicable).
  • Review documents with team and track opportunities.
  • Create opportunities in Groundworks and SharePoint site.
  • Monitor and track project progress; update Groundworks accordingly.
  • Download documents from plan rooms and convey to team.
  • Monitor Texas Estimating Inbox as required.
  • Open POs as needed; set up material delivery with operations feedback.
  • Create and maintain comprehensive project documentation.
  • Create SharePoint site and upload all files.
  • Create Blue books for projects.
  • Assist Superintendent with daily report updates.
  • Coordinate with Safety Reps to gather required safety documents and certifications; schedule trainings if needed.
  • Call in 811 tickets and renew as needed; keep project team updated.
  • Facilitate enrollment in OCIP/CCIP programs; request COI as needed.
  • Request P&P Bonds; manage vendor sub-contracts as needed.
  • Support shipping items to clients and job sites.
  • Submit change orders to Client; support monthly billing and SOV setup.
  • Enter/update billing in GW monthly; follow up with Client AP for payments.
  • Price materials and equipment; maintain pricing lists and vendor contacts.
  • Ensure Project Manager needs are met as the project evolves.
  • Engineering support: AutoCAD drawings; collect design information for submittals.

Keller is looking for an experienced Project Coordinator based out of our Las Vegas, NVlocation.

The Project Coordinator will provide support during the preconstruction and project delivery phases of our work.

Responsibilities

Preconstruction

  • Help communicate with clients as needed toidentifyand/or define project requirements, scopes andobjectives, and intent to bid
  • Assistwith pre-bid qualifications and bidders list
  • Check ITB’s for scope.Search for potential projects
  • Completeinitialscreen, project proposal template, and initial estimate (if applicable)
  • Review documents with team and track opportunities.
  • Create opportunities in Groundworks (or similar) and SharePoint site
  • Monitor and track project progress.Notify the team of any changes (through bid list, opportunity statusreportsand meeting agenda) and make Groundworks updatesrequired.
  • Download documents (plans, specs, geotechnicalreportand addenda) from plan rooms and perform assessment to convey to team.
  • Monitor Texas Estimating Inbox (asrequired)

Project Delivery

  • Collect forms for new vendor set up
  • OpenPO’sas needed.Set up material delivery with operations feedback if requested.
  • Create andmaintaincomprehensive project documentation
  • Create SharePoint site and upload all files over
  • Create Blue books for projects
  • Assist Superintendent with daily report updates (as needed)
  • Asneededcoordinate with KNA Safety Reps to gather andfurnishProject/Contractor Required Safety Documents and Certifications.If applicable, schedule/setup special trainings, certifications, or drug testing for our personnel as needed.
  • Call in 811 tickets (with PM’s help) and keep GW and project team updated on currentexpirationdates.Renew tickets for ongoing projects as needed and convey that to the project team.
  • Facilitate enrollment in OCIP/CCIP programs
  • Request COI as needed
  • Request P&P Bonds
  • Provide support in shipping any items to clients and/or job sites.
  • Put together vendor sub-contracts as needed.
  • Send executed change orders back to Client.
  • Provide support duringmonthlybilling process as needed (details below).
  • Setup SOVs in GW (with PM’s help)
  • Review SOV’s monthly with the PM andsubmitprogress payments/monthly billing to the Client as well as conditional/unconditional waivers.
  • Enter/update billing on GW each month after progress paymentsaresubmittedto Client.
  • Follow up with Client’s APregardingpayment/cash collection and retention closeout.
  • Facilitate pricing of materials (e.g.casing, aggregate pier materials, grouting materials) and equipment rentals.Keeplistof updated pricing for common materials and equipment rentals as well asaccuratevendor contact list with typical lead times for delivery.
  • Make certain that the project manager needs are met as the project evolves

Engineering

  • AutoCAD drawings

Qualifications
  • 2-3 years of experience in project coordination or management within a related field.

Additional Information

Salary Range:$55,000 - $75,000per year

Actual salary will be based on a variety of factors including relevant internal and external experience, knowledge, skills, scope of job, geographical location or other factorspermittedby law
