Collaboration with Project Managers and the Project Finance team is essential to ensure timely invoicing and accurate revenue capture. The role requires a high school diploma with 2+ years in project accounting or a Bachelor’s degree with 0+ years.

Qualifications

Responsibilities

  • Prepare and submit client invoices per contract terms and billing schedules.
  • Ensure accurate billing of labor, expenses, and subcontractors.
  • Maintain billing records and remittance information with supporting docs.
  • Submit invoices via client portals and resolve issues.
  • Monitor accounts receivable aging and assist collections on outstanding balances.
  • Support project setup by entering terms, billing structures, and revenue methods.
  • Assist with onboarding of new clients/projects in the accounting system.
  • Code and route subcontractor invoices for approval and payment processing.

Primary Function

The Project Billing Specialist plays a key role in the financial operations of the company by managing client billing, tracking accounts receivable, supporting collections efforts, and assisting in project financial setup and maintenance. This position collaborates closely with Project Managers, the Project Finance team, and Accounts Payable and Receivable teams to ensure timely and accurate billing, proper coding of subcontractor invoices, and effective cash receipt processing.

Job Duties & Responsibilities:
  • Prepare and submit client invoices in accordance with contract terms, billing schedules, and project requirements.
  • Ensure accurate billing of labor, expenses, subcontractors, and contract modifications.
  • Maintain billing records, client remittance information, and supporting documentation.
  • Submit invoices through client billing portals and resolve invoicing issues as needed.
  • Monitor accounts receivable aging and assist with collection efforts on outstanding balances.
  • Partner with Project Managers and clients to address billing questions, payment issues, and invoice discrepancies.
  • Track unbilled receivables and support timely revenue capture.
  • Assist with project setup by entering contract terms, billing structures, rate tables, and revenue methods.
  • Support new client and project onboarding activities within the accounting system.
  • Receive, code, and route subcontractor and subconsultant invoices for approval and payment processing.
  • Verify subcontractor invoices align with project budgets and contractual requirements.
  • Assist with cash receipt coding, payment application, and reconciliation of billing discrepancies.
  • Provide project financial support, reporting, and billing analysis to Project Managers and internal stakeholders.
  • Support project closeout activities, including final invoicing and accounts receivable reconciliation.
  • Assist with audits, compliance reviews, and other accounting or administrative projects as assigned.
Required Skills and Qualifications:
  • Minimum Experience - High School Diploma and 2+ years’ experience in project accounting with a primary focus on project billings.ORBachelor’s degree and 0+ years’ experience.
  • Strong initiative, attention to detail, analytical and problem-solving skills.
  • Strong communication skills, possessing the ability to work with employees throughout the organization, vendors, and clients, while building long-distance positive relationships across offices.
  • Capability to work independently.
  • Proficient in Microsoft Office Products, particularly Excel.
  • Availability for occasional travel as needed between offices.
Preferred Skills and Qualifications:
  • Demonstrated experience in engineering, construction, or professional services industry.
  • Familiarity with accounting software, Deltek Ajera, Vision and Vantagepoint a plus.
  • Ability to collaborate with other team members to achieve high quality work products.
