Job summary

This role partners with project managers, handles cost tracking, subcontractor compliance, payroll reporting, and serves as a liaison to resolve billing and documentation issues while upholding

Responsibilities

  • Partner with Project Managers to oversee all project billing activities, including progress billings, schedules of values, pay applications, lien waivers/releases, and customer-specific requirements.
  • Manage project financial administration through setup, budget maintenance, contract values, phase codes, change orders, work orders, and billing rate structures.
  • Review contract billing terms to support profitability, ensure compliance, and mitigate financial risk.
  • Lead complex project billing functions, including cost tracking, reconciliations, reimbursements, and audit support documentation.
  • Support monthly financial reporting and close by ensuring accurate reconciliation of costs, expenses, and contract requirements.
  • Administer subcontractor and vendor compliance, including POs, certificates of insurance, bonds, lien documentation, payroll records, and other requirements.
  • Ensure compliance with prevailing wage regulations and reporting through certified payroll, EEO docs, permits, etc.
  • Coordinate project closeout to satisfy contractual, financial, and compliance requirements.
  • Serve as liaison between project teams, accounting, customers, subcontractors, and vendors to resolve issues.

About the Role

As a Project Biller, you will be responsible for compiling, maintaining, and organizing accurate project and billing records. This includes managing documentation related to project activities, billing processes, compliance requirements, and submission deadlines. The role ensures that all project and billing data is properly tracked, accessible, and aligned with established procedures, quality standards, and timelines.

Essential Duties & Responsibilities
  • Partner with Project Managers to oversee all project billing activities, ensuring accurate and timely preparation of progress billings, schedules of values, pay applications, lien waivers, lien releases, and customer-specific billing requirements.
  • Manage project financial administration throughout the project lifecycle, including project setup, budget maintenance, contract values, phase codes, change orders, work orders, and billing rate structures.
  • Review and interpret contract billing terms and conditions to support project profitability, ensure compliance with customer requirements, and mitigate financial risk.
  • Lead complex project billing functions, including cost tracking, reconciliations, reimbursable expense documentation, and preparation of owner or customer audit support documentation.
  • Support monthly financial reporting and close processes by ensuring accurate reconciliation of project costs, billable expenses, and contract requirements.
  • Administer subcontractor and vendor compliance requirements, including purchase orders, certificates of insurance, bonds, lien documentation, certified payroll records, and other contractual requirements.
  • Ensure compliance with prevailing wage regulations and project-specific reporting requirements through the preparation and submission of certified payroll, EEO documentation, permits, and related compliance reports.
  • Coordinate project closeout activities, ensuring all contractual, financial, and compliance requirements are satisfied and project records are complete.
  • Serve as a key liaison between project teams, accounting, customers, subcontractors, and vendors to resolve billing, payment, compliance, and documentation issues.
  • Monitor project financial performance by maintaining accurate records, identifying discrepancies, and proactively resolving issues that may impact billing accuracy, cash flow, or project execution.
  • Develop, maintain, and optimize billing processes, templates, and controls to ensure consistency, accuracy, and compliance across projects.
  • Provide guidance and mentorship to less experienced team members, sharing best practices related to project administration, billing, contract compliance, and financial processes.
