KCI Technologies, Inc. is seeking a detail-oriented project support professional in Rock Hill, SC.

The role focuses on document control, contract tracking, and coordination with Practice Leaders and Project Managers to support projects from planning through closeout. Ideal candidates will have five years in the A/E/C industry, solid Microsoft Office skills, and the ability to manage multiple tasks within a fast-paced team.

Responsibilities

  • Assist Practice Leaders and Project Managers with day-to-day document control and tracking contracts using Excel.
  • Familiarize with technical documents and support with contract and task reallocations, fund transfers, closeout letters, and task orders.
  • Schedule meetings, draft correspondence, take minutes, keep files organized, and assist with data entry.
  • Prepare contractual documents such as teaming agreements and subcontracts; monitor insurance requirements and coordinate with vendors.
  • Assist with review and preparation of invoices.
  • Archive and catalog project documents and correspondence.
  • Coordinate with other KCI groups such as fleet management, safety, procurement, finance, IT, HR.
  • Learn client and contract requirements; assist with correspondence to outside agencies.
  • Must have strong organizational and multi-tasking skills; valid driver's license and reliable transportation.
  • Office dress is business casual; standard office hours 8 am to 5 pm with overtime as required.
  • Five years of experience, preferably in the A/E/C industry; DOT contract requirements are preferred.
  • Strong interpersonal communication, technical writing, and time management skills.
  • Working knowledge of Microsoft Office, including Word and Excel.

Duties, Responsibilities & Other
  • Tasks will include assisting Practice Leaders and Project Managers with day-to-day document control and tracking contracts using excel spread sheets.
  • In addition, candidate will become familiar with technical documents associated with projects and proposals and support managers with contract and task reallocations, fund transfers, closeout letters, task order preparation.
  • Will also assist with scheduling meetings, conferences and travel, draft correspondence, take meeting minutes, keep files accessible and organized, perform spreadsheet data entry, and help plan office activities.
  • Prepare contractual documents such as teaming agreements and subcontracts; track subconsultant usage and subcontracting goals, monitor insurance requirements, coordinate with service vendors.
  • Assist with review and preparation of invoices.
  • Archiving and cataloging of project documents and correspondence.
  • Assist co-workers in coordinating with other KCI groups such as fleet management, safety, procurement, finance, IT, HR.
  • Will become familiar with KCI clients and contract requirements.
  • Will assist project managers with correspondence and applications to outside agencies.
  • Must have strong organizational and multi-tasking skills.
  • Must have valid driver's license and reliable transportation.
  • Office dress is business casual.
  • Must have reliable transportation and be available to work standard office hours from 8 am to 5 pm with overtime as required.
  • Five years of experience, preferably in the A/E/C industry.
  • Experience with DOT agency contractual requirements is strongly preferred.
  • Successful candidate will show a high degree of initiative, be inquisitive, and be a self-starter that can accurately and efficiently complete assigned and evident tasks with minimal oversight following training.
  • Must have strong interpersonal communication, technical writing, and time management skills.
  • Candidate should possess a working knowledge of the Microsoft Office suite with proficiency in Word and Excel.
Qualifications
  • High school diploma is required; bachelor's degree preferred.
