Blach Construction Company is seeking a proactive Project Assistant to provide essential administrative support on assigned construction projects. You will help coordinate tasks, manage compliance documentation, and assist with office operations across the San Jose area.

The role requires strong organizational and communication skills, with the ability to work in a fast-paced field-integrated environment and collaborate with project teams, subcontractors, and risk management professionals.

Qualifications

  • Experience in construction project coordination or field support on public works or affordable housing projects.
  • Familiarity with public works labor standards (prevailing wage, apprenticeship, skilled and trained workforce).
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management/document control systems.
  • Excellent organizational skills and attention to detail; strong interpersonal communication.
  • Ability to manage multiple tasks in a fast-paced environment and work independently with teams.

Responsibilities

  • Provide administrative and operational support to project teams, including bid packages, subcontracts, purchase orders, and change orders; assist with billings and project setup/closeout.
  • Maintain project documentation including insurance, safety, compliance materials, and reporting.
  • Coordinate with Risk Manager on compliance inquiries from field staff and subcontractors.
  • Support field staff and office teams, schedule meetings, and maintain records; facilitate coordination between San Jose office and field sites.

Job description

Title: Project Assistant


Reports to: Project Manager and Senior Risk Manager


Summary of Position: We are seeking a proactive, organized Project Assistant to provide primary admin-istrative support on assigned construction projects. This multifaceted role in-cludes project coordination, labor compliance, as well as general office and team support. The ideal candidate is collaborative, communicative, and comfortable working in a fast-paced, field-integrated environment.


Typical Duties

Project Support


  • Provide comprehensive administrative and operational support to project teams, including preparing bid packages and RFPs, creating and tracking subcontracts, purchase orders, and change orders; processing billings and assisting with project setup and closeout activities

  • Maintain accurate and organized project documentation, including sub-contractor insurance, safety records, compliance materials, and reporting requirements


Labor Compliance


  • Collect and review certified payroll and skilled and trained workforce reports to ensure compliance with prevailing wage, apprenticeship, and public works requirements (training provided)

  • Track and maintain compliance records, including subcontractor licensing and related documentation.

  • Serve as a point of contact, in coordination with the Risk Manager, for compliance-related inquiries from field staff and subcontractors.


Office and Team Support


  • Provide administrative support to project and office teams, including preparing correspondence, maintaining records, and scheduling meetings

  • Contribute to overall team efficiency by supporting cross-functional needs and project execution efforts

  • Work between the San Jose main office and field offices to maintain strong alignment with jobsite operations and provide direct support to field staff.


Skills/Qualifications


  • Prior experience in construction project coordination, labor compliance, labor unions, or field support, preferably on public works or affordable housing projects

  • Familiarity with public works labor standards preferred (prevailing wage, apprenticeship, skilled and trained workforce)

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management/document control systems

  • Excellent organizational skills and attention to detail

  • Strong interpersonal and communication skills; comfortable interacting with diverse teams and field crews

  • Ability to manage multiple tasks and adapt in a fast-paced environment

  • Positive, proactive approach and willingness to help wherever needed

  • Strong problem-solving skills and ability to work independently and collaboratively


Position Status: Full-time, regular business hours, non-exempt


Location: Northern California (Bay Area)
