Project Assistant
Provides project management support to the Project team, assisting with administrative tasks and utilizing various project management tools.
Responsibilities
- Recap and track Potential Change Orders (PCOs).
- Price up material vouchers.
- Write up and record all Requests for Information (RFIs).
- Track certified payroll for Rosendin and all subcontractors, filling out required forms (e.g., HRC forms, OCIP Compliance).
- Update project schedules on Microsoft Project or SureTrack.
- Conduct monthly billing (Schedule of Values/Cover sheet).
- Create and update material flow sheets for fixtures, fire alarm devices, and other materials; maintain subcontract/Change Order logs and submittal logs.
- Obtain quotes from vendors and perform light material ordering.
- Other duties as assigned within the business unit.
Qualifications
- Knowledge and ability to read blueprints; materials and pricing using Bidbook.
- Project management procedures and working knowledge of scheduling software.
- Computer, filing, and 10‑key skills required.
- Attention to detail; strong analytical and organizational skills.
- Diplomatic discretion and interpersonal skills for handling sensitive, confidential matters.
- Proficiency in Microsoft Project, SureTrack, Oracle, and SharePoint (preferred).
- Proficiency in Microsoft Office suite (Outlook, Word, Excel, etc.); Oracle experience preferred.
- Ability to prioritize and manage multiple tasks, adapting to changing priorities.
- Strong oral and written communication skills.
- Self‑motivated, proactive, and an effective team player.
- Effective interaction with all employee levels, vendors, clients, and others.
- Associate degree in Business Management, Construction Management, or related field (Bachelor’s preferred).
- Minimum 1‑2 years of project management support experience, preferably in a construction environment.
- Experience in the construction industry (or a combination of education, training and relevant experience).
Travel and Working Conditions
- Travel: 0%.
- General work environment: sitting for extended periods, standing, walking, typing, carrying, pushing, bending. Work primarily indoors with varying conditions such as fluorescent lighting and air conditioning. Noise level typically low to medium; may be loud on a job site. Occasional lifting up to 30 lbs.
