You’ll help keep projects moving by tracking schedules and expenses, processing purchasing and invoice documentation, coordinating with 20+ manufacturing plants, maintaining project data, and following up with vendors and internal teams.

This role is ideal for someone who is highly organized, comfortable working with numbers and documentation, and able to manage multiple projects and priorities at the same time.

What You’ll Do

  • Work closely with Project Engineers to monitor progress and take and distribute meeting minutes.
  • Review asset and Major Spare Parts information and prepare or update project expense and capital expenditure records.
  • Navigate JM Eagle’s AS400 inventory system to research and maintain project, asset, inventory, and purchasing information.
  • Coordinate the replenishment and purchasing of Major Spare Parts for 20+ manufacturing plants.
  • Communicate with plant personnel throughout all phases of capital expenditure projects, from initiation through completion.
  • Screen, route, track, and resolve issues involving CIP purchase requisitions, CIP invoices, MSP invoices, and related documentation.
  • Coordinate with vendors and suppliers regarding equipment purchases and leases, including forklifts and other plant equipment.
  • Negotiate pricing and lead times and monitor leased-equipment status.
  • Process purchase requisitions, payments, and invoice approvals in coordination with Accounting.
  • Coordinate import/export and logistics activities with customs brokers and freight forwarders.
  • Serve as a liaison between Engineering, Production, plant personnel, suppliers, contractors, Accounting, and other internal teams.
  • Maintain project data, develop reports, and provide analysis for management review.
  • Assist in resolving purchasing, invoice, and project-related issues raised by JM Eagle plants and the Production department.
  • Support plant expansion projects and activities necessary for continuous plant operations.
  • Travel to JM Eagle plants and supplier facilities as needed.
What You Bring

  • Minimum of 3 years of Project Administrator or related project coordination experience, or an equivalent combination of education, training, and experience.
  • Strong organizational skills with the ability to manage multiple projects, deadlines, and priorities simultaneously.
  • Excellent attention to detail, particularly when working with invoices, purchase requisitions, expenses, and project documentation.
  • Proficiency with Microsoft Excel, Project, Word, and PowerPoint.
  • Experience coordinating with multiple departments, locations, vendors, or suppliers.
  • Strong written and verbal communication skills.
  • Ability to prepare reports, maintain accurate records, and analyze project information.
  • Strong problem-solving skills and ability to identify trends and develop appropriate action plans.
  • Comfort working with numbers, including percentages, discounts, interest, production rates, and project expenses.
  • Ability to communicate and negotiate effectively with vendors and suppliers.
Nice to Have
