Job summary

Schnabel Engineering is seeking a Project Administrator to support our growing practice in Greensboro, NC.

The role collaborates closely with Project Managers across full project lifecycles, handling setup, maintenance, close-out, invoicing, budgets, and reporting to ensure high-quality, compliant project delivery.

Qualifications

  • Associate or Bachelor's Degree required.
  • 5+ years of contract/project administration or related experience.
  • Excellent written communication for internal/external audiences.
  • Strong organizational skills and attention to detail.

Responsibilities

  • Support project managers with data entry, reporting, and contract administration.
  • Maintain work breakdown structure throughout the project life cycle.
  • Develop and maintain a detailed project schedule.
  • Monitor budgets, financial forecasts, and billing; coordinate with accounting.
  • Prepare and review technical documents, letters, minutes, and reports.
  • Perform ad hoc duties to support project execution.

Job Description:

Schnabel Engineering is seeking a Project Administrator to support our growing practice. The role is ideal for someone who enjoys contributing to a strong team culture and helping projects run efficiently.

In this role, you will work closely with Project Managers to support various projects throughout the full project life cycle. Efforts will range from project/proposal setup, maintenance and close-out, invoice management, and budget documentation and reporting. A key responsibility is to ensure the quality and consistency of project compliance and quality assurance coordination.

Job Responsibilities:

  • Provide data entry and reporting services for project managers, specifically to:
  • Assist with contract administration and reporting duties; and
  • Maintain and manage the work breakdown structure throughout the life of a project
  • Collaborate with project managers to develop and maintain a detailed project schedule
  • Monitor project lifecycle by reviewing budgets, financial forecasts, and other business reports. Track revenue and customer billing, and coordinate between accounting and project staff to ensure that project charges are accurate.
  • Provide assistance and support to project and finance teams in executing and tracking established project financial workflows, such as:
  • Assist with contract review process
  • Coordinating special invoicing requirements between client and accounting staff
  • Reviewing client and subcontractor invoices for accuracy and timeliness
  • Client payment inquiries, collections and resolutions, as needed
  • Create and review various technical documents, including letters, meeting minutes, presentations, memoranda, and reports. This involves editing, formatting, assembly, and document delivery.
  • Perform other ad hoc duties, as needed, to support project execution.

Required Skills and Qualifications:

  • Associate or Bachelor's Degree.
  • 5+ years of contract/project administration, office management, or comparable experience.
  • Attention to detail and strong organizational skills.
  • Excellent written communication skills, with the ability to prepare clear, concise, and professional correspondence, reports, and documentation for both internal and external audiences.
  • Strong computer skills including Microsoft Office (Word, Excel, Outlook, PowerPoint), and Adobe Acrobat or Bluebeam Revu.
  • A strong work ethic, a positive attitude, and a desire to perform professionally with a team at a high level.

Preferred Skills/Experience:

  • Experience with project management, construction management, or other knowledge of engineering/technical work.
  • Understanding of project workflow from initial setup to completion within a professional services environment.
  • Experience managing contracts.
  • Experience with Aconex, Microsoft SharePoint, and Microsoft Teams.
  • Knowledge of project invoices and billing.

Other Requirements:

  • Ability to pass a background check which may include criminal history, motor vehicle record, and credit check.
  • Ability to pass a pre-employment drug screening.

The compensation range for this position is between $70,000 to $85,000.Compensation for this position may vary based on geographic location and other factors. We remain committed to providing competitive and equitable compensation to all employees, regardless of their location.
