Job summary

Jacobs in Houston is seeking a seasoned Administrative Specialist to provide comprehensive support to the Program Director, Construction Director, and project team within our Life Sciences Group. You will coordinate meetings, prepare minutes, update reports and presentations, and help keep operations organized and aligned with client expectations.

The ideal candidate has 5+ years of administrative experience in engineering/construction, strong MS Office and Oracle E-Business Suite skills, and

Qualifications

  • Bachelor's degree or equivalent in lieu of degree.
  • At least 5+ years of administrative experience in engineering, construction, or related organization.
  • Advanced level MS Office skills (Word, Excel, Outlook, PowerPoint, Teams).
  • Experience with Oracle E-Business Suite (Software).

Responsibilities

  • Meeting Coordination — schedule, organize, and prepare for internal and external meetings.
  • Project Notes — create and distribute accurate meeting minutes.
  • Project Documentation — assist in preparing reports, presentations, and deliverables.
  • Presentation Support — develop and format PowerPoint and other materials.
  • Team Support — provide day-to-day administrative support to project leadership and team members.
  • Catering and Logistics — coordinate onsite catering and meeting logistics.
  • Communication — communicate effectively with staff at all levels.

You will provide comprehensive administrative and project support to the Program Director, Construction Director, Project Manager, Project Engineer, and broader project team within our Life Sciences Group. This role is central to keeping project operations organized, efficient, and aligned with client expectations.

Key Responsibilities
  • Meeting Coordination — Schedule, organize, and prepare for internal and external meetings, including calendar management and logistics.
  • Project Notes — Create, maintain, and distribute accurate meeting minutes for all project-related meetings.
  • Project Documentation — Assist in preparing, updating, and organizing project reports, presentations, and other deliverables.
  • Presentation Support — Develop and format PowerPoint presentations and other communication materials.
  • Team Support — Provide day to day administrative support to project leadership and team members.
  • Catering and Logistics — Coordinate catering and onsite meeting needs as required.
  • Communication — Communicate effectively with staff at all levels, both verbally and in writing.

Here's what you'll need
  • Bachelor’s degree in Business Administration or other discipline is considered; or equivalent years of experience in lieu of degree
  • At least 5+ years of administrative experience within an engineering, construction, or related organization.
  • Advanced level computer skills in MS Office Suite Word, Excel, Outlook, PowerPoint & Teams
  • Experience with Oracle E-Business Suite (Software)
  • Demonstrate key competencies in the areas of communication, planning and organizing, flexibility and adaptability, customer service, problem assessment and problem solving, attention to detail, and teamwork.
Ideally you'll also have
  • Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Proven self-starter, proactive, with the ability to plan, prioritize and organize workload

The base salary range for this position is $55,200.00 to $90,000.00; though will be paid hourly based on hours worked. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
