Position Overview

The Program Support Coordinator will assist Program Managers and Senior Managers with a range of tasks including facilitating timelines and projects, planning and tracking program financial performance, training employees on policies and procedures, scheduling and communicating with customers and outside contacts, as well as reporting, data entry, and overseeing and managing programs and projects.

Reporting Relationships

Reports to Director of Programs.

Duties and Responsibilities
  • Proofing and distributing company documents utilizing preapproved guidelines.
  • Single point of contact for customer to address all program needs.
  • Assist the delivery schedules and forecasts for program.
  • Collecting and analyzing financial, quantity, project, and schedule data.
  • Fact-checking information using internal and external resources.
  • Ensuring compliance with program regulations and financial performance.
  • Treating confidential information such as contracts, documentation, specifications, and contact info with discretion.
  • Effectively supporting assigned teams with whatever they may need, incorporating feedback, suggestions, and improvements where appropriate.
Qualifications
  • 2+ years of experience in administrative, project-based support role -preferably in a role focused on communications, research and writing.
  • Bachelor’s degree a plus especially in project management, journalism or communications.
  • Excellent written communication skills and an impeccable eye for detail and editing.
  • Excellent verbal communications skills with the ability to present and instruct others on processes, procedures and program goals.
  • Comfortable briefing executive management team and providing direction to other team members towards a common program goal.
  • Strong technical skills and ability to type 60 WPM – proficiency in MS Office required, strong skills in Excel and PowerPoint are highly preferred.
  • Positive and adaptable attitude; independent and proactive problem-solving skills.
  • Excellent organizational and time management skills.
  • Strong work ethic and proven enthusiasm for the role.
  • Ability to obtain US Government Secret level clearance or has current Government security clearance.
  • Clear Communication - Clear and effective written and verbal communication skills with the ability to deliver the appropriate level of detail.
  • Develop Relationships - Has the ability to develop relationships with co-workers and to contribute to group solutions.
  • Good Judgement - Exercise good business judgment and makes good decisions and notify management of issues and concerns.

  • Budget - Works with the company's budgetary guidelines while minimizing expenses and maximizing cost efficiency.

  • Action Plan - Able to identify root causes of issues and quickly formulates action plans to resolve them.
