Job summary

UC Berkeley Executive Education in Berkeley, CA, seeks a Program Services Associate to ensure excellence in execution for 70+ programs across on-site, virtual and hybrid formats. You will provide operational support to Program Services Managers and Faculty, handling logistics, AV, and event setup, reporting to the Operations & AV Manager.

This role requires on-campus presence four days a week and involves coordinating materials, registrations, campus tours, and client interactions with a focus

Qualifications

  • 1–2 years of experience in customer-facing roles, administrative coordination, event logistics, or basic AV support.
  • Strong project management and organizational skills, with the highest level of attention to detail and deadlines.
  • Ability and desire to contribute to ongoing operations and process improvement efforts across all Exec Ed workstreams.
  • Thorough knowledge of Google Suite products and MS Office applications.

Responsibilities

  • Manages program logistics and deliverables to prepare for and close out programs across formats, including handouts, AV requests, classroom setup, and evaluations.
  • Provides on-site support for in-person programs: registrations, sessions, AV, campus experience, and event setup.
  • Supports online and offsite programs with administrative tasks and coordination.
  • Coordinates with Haas School of Business and UC Berkeley entities for operations and development needs.
  • Assists in hiring, training, and scheduling undergraduate interns and coordinates with the Program Manager and Faculty.

About the Role

Our Program Services Associate team is responsible for ensuring excellence in execution for 70+ programs delivered annually across multiple channels and delivery formats (on-site, virtual and hybrid). This position provides ongoing operational support for all Berkeley Executive Education activities, program-specific tactical support to our Program Services Managers and Faculty and assists in special projects when time allows. The Program Services Associate team is integral to ensuring a smooth learning journey for our program participants and efficient operations for the organization. This position reports directly to the Operations & AV Manager, Program Services.

This position requires an on-campus presence 4 days per week. On-site expectations and daily schedules may adjust based on business and operational needs

Detailed Key Responsibilities
  • Manages important elements of program logistics and deliverables to prepare for and close out programs across all delivery formats, both standardized and at the direction of the Program Manager. Including but not limited to: program handouts and supplies (both preparation and ordering), media/audiovisual requests, preparation and clean-up of classroom spaces, and program evaluations.
  • Provides on-site support for in-person programs, with tasks that are both standardized and at the direction of the Program Manager. For each program this may include, but is not limited to: providing support for early morning registration or later evening engagement events, being present at all program sessions, managing basic classroom AV, assisting Program Manager or Faculty in delivery of program exercises, support for the campus experience (such as crowd control, assisting catering and special event set-up, and wayfinding), support for residential and/or offsite program components, and occasional weekend program days.
  • Provides administrative support for programs delivered online and offsite.
  • Operational support for Exec Ed. This may include preparations and support for Staff or Client Meetings, business development needs, and collaboration with teams at the Haas School of Business or other UC Berkeley entities.
  • Provide administrative support to ongoing projects and tasks as directed by the Director of Operations and Operations/AV Manager. Examples include classroom and event space calendar administration, inventory coordination, shipping and receiving, and safety training.
  • Manages select special projects with fellow Program Services Associates, as assigned by BEE leadership in support of our strategic goals.
  • Works with Operations/AV Manager to support a team of undergraduate interns, including participating in hiring, training, scheduling and ongoing task coordination to ensure the successful execution of their duties.
  • Interacts directly with clients and program participants, professionally representing Exec Ed to key stakeholders, and providing the highest quality of customer service. Leads standard campus tours for program participants, corporate clients, and visiting stakeholders.
Preferred Qualifications
  • 1–2 years of experience in customer-facing roles, administrative coordination, event logistics, or basic AV technical support. Ability to lift up to 50 pounds.
  • Strong project management and organizational skills, with the highest level of attention to detail and deadlines. Excellent time management skills.
  • Ability and desire to contribute to ongoing operations and process improvement efforts across all of Exec Ed, contributing ideas on a perpetual basis to key operational workstreams. Expected to regularly identify ways to improve business and program operations and finances.
  • Thorough knowledge of all Google suite products, MS Office applications.
  • Desire to be part of a highly collaborative team, balancing independent work and program-specific work directed PSMs. Ability to balance ever-changing special projects with ongoing job responsibilities. Must be able to work independently and with minimal direction, at a high level of discernment.
  • A strong customer service mindset. An efficient problem-solver with excellent judgment and decision-making skills.
  • Strong interpersonal skills, diplomacy, and the ability to build relationships with diverse stakeholders and audiences, including international participants and UC Berkeley faculty.

Salary and Benefits

The expected starting hourly rate for this position is $28–$30 per hour, commensurate with experience. Berkeley Executive Education additionally offers a strong benefits package including Medical, Dental, Vision, 401k Plan, vacation leave, sick leave, and 17 paid holidays. While Berkeley Executive Education is a hybrid work environment, this role is required to be on campus four - five days per week.
