Job summary

Plugged In is seeking a Program Manager for its Band Program in the MetroWest MA area. The role coordinates Band Class, private lessons, summer camp, workshops, and community performances, acting as the primary contact for students, families, staff, and partners.

The ideal candidate will bring strong nonprofit leadership experience, excellent writing and organizational skills, and a commitment to inclusive, accessible music education.

Qualifications

• Strong belief in music as an empowering educational tool.
• Experience with non-profit leadership, in evolving leadership role(s) preferred.
• Experience with youth development and/or arts education preferred.
• Ability to juggle multiple projects and responsibilities.
• Strong administration skills.
• Excellent writing and communication skills.
• Excellent organizational skills.
• Priority given to those who speak both English as well as Portuguese and/or Spanish.

Responsibilities

• Coordinate program components including Band Class, Private Lessons, Summer Camp, Workshops, Community Performances and partner placements.
• Serve as primary contact for parents, students, staff, and community partners; respond to inquiries and coordinate events.
• Coordinate staff work assignments, substitute teacher coverage, and volunteer scheduling; assist in hiring and reviews.
• Administer program evaluation processes and use data to improve teaching practices and priorities.
• Manage invoicing to partner organizations and schedule teaching staff for partner programming placements.
• Implement new program-related systems and processes per strategic plan; handle additional tasks as assigned.

Plugged In is a nonprofit music program committed to creating an inclusive, loving, and diverse community empowered to change the world. Founded in 2002, we educate musicians of all ages, skill levels, and abilities in a non-competitive environment, and provide band and individual performance opportunities in support of community and charitable causes. Every opportunity we offer is developed through the lens of inclusion, and a growing share of our students have disabilities or other accessibility needs.

We serve approximately 330 students annually in the MetroWest Massachusetts area through band classes, private lessons, summer camps, and community performances. We are currently preparing to relocate from Needham to a new, fully accessible permanent facility in Framingham, opening in early 2027.

The Role

The Program Manager is the forward-facing hub of Plugged In's programming. This role coordinates Band Class, Private Lessons, Summer Camp, Workshops, Community Performances, and other program pieces as they are introduced, and is the primary point of contact for students, parents, teaching staff, and community partners. This position requires enthusiasm, patience, flexibility, and a sense of humor. A successful candidate will be a guiding force for realizing the mission, upholding core values, and inspiring the motivation of staff, participants, and community partners.

Responsibilities

Program Coordination

• Coordinate all local programs and their related activities (band class, private lessons, concerts, etc.)
• Manage program-related administrative tasks, including programming schedule, registration, student intake, band scheduling, concert scheduling, and new student meetings
• Monitor implementation of program policies and best practices
• Keep all programming pieces on schedule and functioning smoothly
• Alongside the Plugged In team, implement, design, and deliver inspiring programs that facilitate growth in personal, artistic, professional, and community competencies
• Guide and inform dynamic curriculum

Community & Family Engagement

• Serve as the primary point of contact for parents, students, teaching staff, and other stakeholders
• Respond to inquiries from students, faculty, staff, prospective participants, and other constituents
• Work with teaching staff and students to maintain and build the Plugged In culture as a "safe space" where student behavior and interactions are positive and where all people's opinions, ideas, and actions are valued
• Address student and parent concerns related to program pieces
• Promote Plugged In by building meaningful connections at community, informational, and partner events.
• Support the management and execution of offsite performances and tabling events for partners
• (if possible) Ensure community access to programming by translating relevant forms and marketing materials.

Staff & Volunteer Coordination

• Coordinate staff work assignments and work schedules, including finding substitute teachers as necessary
• Coordinate band class volunteer assignments
• Assist in the hiring of new teaching staff
• Assist in the reviews of current teaching staff

Program Quality & Evaluation

• Administer program evaluation processes as outlined by the Administrative Manager
• Use program evaluation data and outcomes reporting, prepared by the Administrative Manager, to inform and evolve teaching practice
• Work with staff to set program priorities and ensure program quality

Partner Programming

• Serve as Plugged In's primary point of contact for partner organizations once a partnership has been established
• Work with the Inclusion Coordinator to shape and confirm program content for each partner placement
• Schedule and assign teaching staff to partner programming placements
• Manage invoicing to partner organizations for programming delivered

Other

• Implement new program related systems and processes as developed in accordance with the current strategic plan
• Additional role related tasks as assigned by the administrative team and/or Board of Directors
