University of Illinois Chicago is seeking a Program Coordinator for the Undergraduate Research Hub in Chicago, IL. The role will support URH programming, communications, and student engagement, coordinating events and ensuring smooth operations across multiple programs.

The coordinator will lead outreach, manage information sessions, and assist with data collection and reporting while supervising student employees and coordinating travel to conferences.

Qualifications

  • Minimum Qualifications: 1 year in higher education supporting undergraduate research or related programs (Master’s degree may substitute).
  • Preferred: experience with events, working with underrepresented populations, evaluation and data visualization.

Responsibilities

  • Communications, Marketing, and Outreach: manage URH website updates, social media, and newsletters; represent URH at campus events; coordinate communications with campus stakeholders.
  • Program Implementation Support: coordinate logistics for URH programs and events; develop information sessions and workshops; support travel and on-site execution for conferences.
  • URH Operations: manage unit calendar, event scheduling, space reservations; coordinate staff scheduling and URH purchases and finances.
  • Student Data, Reporting, and Awards Administration: maintain rosters and alumni tracking; assist with data collection and reporting; support student award processes.
  • Student Employee Onboarding and Supervision: coordinate onboarding for URH student employees; manage Federal Work-Study positions; supervise student staff.

The Program Coordinator is responsible for coordinating and supporting program implementation across the Undergraduate Research Hub (URH). This role coordinates operational, administrative, and front-line student-facing tasks pertaining to URH programming and events, including leading communications and outreach efforts and supporting program data, awards, and employee functions. The Program Coordinator works in close partnership with leadership and Associate Directors to ensure execution of URH programming and functions

Duties & Responsibilities:

Communications, Marketing, and Outreach (25%)

  • Manage URH website updates, social media presence, and newsletter to ensure accurate and timely content
  • Represent URH at campus tabling events, recruitment fairs, and partnership opportunities; work with team members to identify venues across the university ecosystem where URH programs can recruit students, collaborate with campus units, or increase visibility
  • Maintain shared email systems (Emma, listserv, iAdvise) and coordinate communications with campus stakeholders

Program Implementation Support (25%)

  • Coordinate operational and logistical support for URH signature programs and associated events, including stakeholder engagement, judge recruitment, materials production, participant check-in, and on-site execution
  • Update, create, and deliver content for information sessions and workshops, including support for summer programming; facilitate skills development and community-building programming opportunities throughout the academic year
  • Coordinate student and staff travel to local, regional, and national conferences and research events, including registration, logistics, documentation, and reimbursement processing; represent URH by attending and accompanying students to select conferences and research events throughout the year

URH Operations (20%)

  • Coordinate day-to-day operations and logistics across URH programs, including management of the unit calendar, program event scheduling, space reservations, and activities that support successful program delivery
  • Coordinate personnel scheduling and office coverage in support of URH programs, aligning staff and student worker availability with program needs while ensuring consistent communication, engagement, and support for students, faculty, and visitors
  • Support URH staff in unit purchasing and fiscal tracking

Student Data, Reporting, and Awards Administration (15%)

  • Maintain participant rosters and alumni outcome tracking across active programs
  • Assist with evaluation efforts by compiling data, maintaining spreadsheets, and supporting report preparation
  • Coordinate student award and employment processes in partnership with the CP-BSC, including collection of required documentation, monitoring of appointments and balances, and support for semester closeout activities.

Student Employee Onboarding and Supervision (15%)

  • Coordinate onboarding activities for student employees in partnership with the CP-BSC, including hiring documentation, appointment processing, and required training
  • Coordinate Federal Work-Study (FWS) research positions and other student employee placements within URH in coordination with the Office of Student Financial Aid
  • Provide ongoing supervision and feedback for URH student employees

Minimum Qualifications Required:

  • A total of one (1) year (12 months) experience working in a higher education setting supporting undergraduate research, scholarship, academic enrichment, mentoring, or other student development programs.(Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Preferred Qualifications:

  • Demonstrated experience planning, coordinating, and implementing events, workshops, conferences, or other large-scale programs, including logistics management, participant communications, scheduling, and day‑of event execution.
  • Demonstrated experience working with underrepresented, first‑generation, and/or transfer student populations in a student‑centered and asset‑based capacity.
  • Experience with program evaluation and assessment, including data analysis, outcome tracking, and data visualization to support reporting and program improvement.

Illinois Residency is required within 180 days of employment.
