Job summary

Butler County YMCA in Cranberry Township is seeking a proactive Program Coordinator to support swim lessons, sports and events. This role assists the Director/Manager, coordinates schedules, trainings and oversees staff while upholding YMCA values.

Strong communication, safety awareness, and the ability to work evenings/weekends when programming is scheduled are essential. This is a full-time role with comprehensive benefits and growth opportunities within a mission-driven nonprofit.

Qualifications

  • High School diploma or equivalent; required.
  • Minimum age of 18; required.
  • Minimum 2 years experience working with children; required.
  • Minimum 2 years of swim lesson instruction; preferred.
  • Minimum 2 years of sports, coaching, programming related experience; preferred.
  • American Red Cross or YMCA Lifeguard Certification, CPR/First Aid/AED; required.
  • Oxygen Administration certification; required.
  • YMCA Swim Instructor Certification within 6 months; preferred.
  • Strong interpersonal and verbal communication skills; required.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.

Responsibilities

  • Assist Director/Manager in training, scheduling, and overseeing staff and volunteers.
  • Plan and implement Special Events with the Director/Manager.
  • Support art, STEM, humanities and sports planning and development.
  • Fill in for staff by teaching swim lessons when needed.
  • Coordinate birthday party inquiries and reservations.
  • Ensure children's health and safety; implement emergency procedures.
  • Coordinate facility usage and transport/setup equipment for events.
  • Communicate weekly instructor curriculum to staff.
  • Maintain equipment cleanliness and inventory in program areas.
  • Serve as liaison between instructors, participants, volunteers, and parents.
  • Organize and supervise culturally relevant, developmentally appropriate activities.
  • Organize sports clinics and camps (volleyball, basketball, pickleball).
  • Officiate, coach and supervise sport programs.
  • Conduct parent and coach orientation meetings and training.
  • Maintain participant/volunteer/program records and gym schedules.
  • Promote teamwork, fun, and sportsmanship weekly.
  • Develop positive relations with members and staff.
  • Enforce rules and behavior expectations.
  • Secure and schedule facilities for each sport season.
  • Respond to inquiries and complaints in a timely manner.
  • Attend staff meetings as required.
  • Develop and maintain positive relations with members and staff.
  • Follow YMCA policies and procedures, including medical and disciplinary situations.

POSITION SUMMARY:

The Y&A Program Coordinator is responsible for assisting the Director/Manager in managing the swim lessons; sports and activities coordination at the YMCA. ESSENTIAL FUNCTIONS:

  1. Assist Director/Manager in training, scheduling, and overseeing assigned staff and volunteers.
  2. Assist Director/Manager with planning, prep, implementation of Special Events.
  3. Assist Director/Manager with art & humanities, STEM and sports planning and development.
  4. Assist Director/Manager with swim lessons; fill in for staff when needed.
  5. Coordinate and schedule all birthday party inquiries and reservations; fill in for staff when needed.
  6. Ensure the Health and Safety of all children in the program at all times; implement Emergency Procedures as necessary.
  7. Coordinate facility usage, and transport/set up equipment for Sports, Programs and Special Events.
  8. Communicate effectively with program staff the weekly instructor curriculum.
  9. Maintain program areas in regards to equipment, safety, inventory, and cleanliness.
  10. Serve as liaison between instructors, program participants, volunteers, and parents.
  11. Coordinate, implement and supervise program activities that are culturally relevant, developmentally appropriate and consistent with YMCA values and objectives.
  12. Organize and conduct sports clinics and camps; including but not limited to volleyball, basketball, pickleball.
  13. Officiate, coach and supervise sport programs.
  14. Organize and conduct parent and coach orientation meetings and training.
  15. Maintain up to date participant, volunteer, and program records, and facility (gym) schedules.
  16. Ensure the goals of fun, teamwork, sportsmanship and skill development are met on a weekly basis.
  17. Develop and maintain positive relations with members and staff.
  18. Enforce the rules and behavior expectations of the area.
  19. Secure and schedule facilities in time for each sport season. Transport and set-up equipment appropriately.
  20. Maintain program areas and adhere to program standards in regards to equipment, storage, safety, and cleanliness.
  21. Respond to all member and community inquiries and complaints in timely manner.
  22. Attend all staff meetings as required.
  23. Develop and maintain positive relations with members and staff.
  24. Follow YMCA policies and procedures, including those related to medical and disciplinary situations, child abuse prevention and emergency procedures.
  25. Perform other duties as assigned.
