Job summary

United States Digital Space LLC is seeking a detail-oriented Program Coordinator to streamline interview experiences for candidates. You will report to the Early Talent Lead Program Manager and collaborate with recruiters to ensure a smooth candidate journey.

This hybrid role is based in ATX, coordinating across Summer Internship, New Grad Rotational, and Sales Academy programs while managing events, swag, onboarding, and candidate communications.

Qualifications

  • 1–2 years of related experience in program coordination, recruitment, or a similar administrative role.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong written and verbal communication skills, capable of creating clear, professional materials.
  • Detail-oriented with an ability to work independently and meet deadlines.
  • Ability to navigate ambiguity, solve problems, and proactively address challenges.
  • Strong research skills.

Responsibilities

  • Coordinate interview logistics for high-volume phone and video interviews across Intern, New Grad, and Sales Development candidates.
  • Maintain and update job postings in our recruitment system (Greenhouse).
  • Collaborate with Recruiters and interviewers to ensure a positive and welcoming candidate experience.
  • Gather feedback from interviewers to improve the selection process.
  • Assist in swag management, logistics for events, and shipping materials for Early Talent programs.
  • Support onboarding and travel arrangements for candidates as needed.
  • Coordinate onboarding activities and welcome packages for new hires and interns.
  • Assist with planning and execution of Summer Internship, New Grad Rotational, and Sales Academy programming.

Job description

We are looking for a detail-oriented and dynamic Program Coordinator to help facilitate a seamless and inspiring interview experience for our candidates. You will report directly to the Early Talent Lead Program Manager and work collaboratively with our Recruiters to guarantee a smooth and captivating candidate journey.

This is a hybrid role based out of ATX.

Responsibilities
  • Interview Coordination:
  • Maintain job postings on career websites and within our recruitment system, Greenhouse.
  • Partner with Recruiters to organize high-volume phone and video interviews for our Intern, New Grad, and Sales Development candidates.
  • Collaborate closely with interviewers to create a positive and welcoming candidate experience during interview sessions.
  • Gather and synthesize valuable feedback from interviewers to continually enhance our selection process.
  • Swag Management & Event Logistics:
  • Assist in the creation, logistics, and shipping of promotional items and the company materials for strategic events, including those related to Early Talent and Recruiting Events.
  • Support the planning and scheduling of on-site events during the fall, spring, and summer.
  • Coordinate and schedule pre-program training and events, such as Interview Training, Open House, and Summits.
  • Candidate Experience & Onboarding:
  • Ensure a seamless candidate experience through timely communication and updates throughout the interview process.
  • Manage travel arrangements for out-of-town candidates when necessary.
  • Support the creation, logistics, and shipping of candidate "keep warm" strategy materials.
  • Coordinate and facilitate the onboarding process for candidates, ensuring a smooth transition into the organization.
  • Programs Engagement & Support:
  • Coordinate the ordering of materials for welcome packages and organize shipping logistics.
  • Distribute and collect surveys to gather valuable feedback and insights.
  • Contribute to the successful execution of all programming events across Summer Internship Program, New Grad Rotational, and Sales Academy, including planning and organizing, scheduling and communications.
  • Diverse Projects:
  • Be adaptable and assist with diverse projects as needed, contributing to the overall success of our Early Talent Programs.
Qualifications
  • 1-2 years of related experience in program coordination, recruitment, or a similar administrative role.
  • Canva experience is a plus!
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong written and verbal communication skills, capable of creating clear, professional materials.

Compensation at the time of offer is unique to each candidate and based on a variety of factors such as skill set, experience, qualifications, and work location. Salary is one part of the company’s total compensation and benefits package.
