Job summary

Hope Services, a leading nonprofit in Silicon Valley, seeks candidates to enhance program and service quality through associate level administration of key programs. Responsibilities include data gathering, medical records analysis, and supporting counseling services.

You will back up management in clinical quality matters and assist with research and reporting. The role involves fieldwork, scheduling, event support, and collaboration with a multidisciplinary team to meet client needs.

Qualifications

  • Bachelor's degree in a relevant field required.
  • Meet eligibility requirements for billable SCCMH work.
  • Clinical interest in developmental disability or psychology; may substitute accounting, finance, or project management experience.

Responsibilities

  • Manage special projects or contracted services.
  • Supervise quality of clinical records in Mental Health dept.; analyze outcomes and suggest improvements.
  • Gather data on outcomes and tabulate for research, presentations, and reports.
  • Provide Counseling quality control, examining billing records vs clinical records to ensure accuracy.
  • Attend SCCMH trainings on clinical work and Unicare; attend meetings as needed.
  • Assist with implementing EHR in front office.
  • Participate as part of a multi-disciplinary team to meet client needs and families.
  • Assist with scheduling clinical contacts and inquiries from clientele and other agencies.
  • Support major events involving clients and families; participate in parent nights.
  • Go into field to gather information or assist in service delivery.

*Compensation: $26.75/hr

Summary

To enhance program and service quality through associate level program administration of key new programs, both clinical and financial aspects, monitoring of targeted ongoing programs with regard to assessing completeness of medical records, data gathering, medical records analysis. To provide back-up support to management in matters pertaining to the quality of clinical work within Counseling programs. To perform back‑up research and development functions in line with HOPE goals, as they are developed within Counseling Center.

Essential Functions
  • Management of special projects or contracted services
  • Supervise quality of the clinical records in Mental Health dept. Analyze outcomes from our clinical work, and make suggestions for improvement.
  • Help gather data on outcomes from clinical work, and help tabulate for research, presentations, and outcome reports
  • Provide Counseling quality control, examining billing records versus clinical records to ensure correspondence.
  • Attend SCCMH trainings on clinical work and Unicare and meetings as necessary.
  • Help implement EHR in front office.
  • Participate as an integral part of a multi-disciplinary team designed to meet the needs of clients and their families.
  • Assist with scheduling of clinical contacts, and phone inquiries from clientele and other agencies.
  • Other duties as assigned to ensure efficiency and quality of the programs.
  • Go into field as requested to gather information or assist in quality service delivery.
  • Assist with major events involving clients and their families, including parent nights.
Qualifications Required
  • B.A./B.S.
  • Meet eligibility requirements for billable SCCMH work.
  • Clinical interest in developmental disability or psychology; will substitute accounting, finance, project management experience/ duties if relevant.
Required Knowledge and Skills
  • Proficient in computer skills including word processing, spreadsheets and database management.
  • Ability to use abstract thinking, conceptualization at a high level.
  • Ability to conduct independent research
  • Flexibility, and ability to prioritize. Excellent concentration.
  • Discrete manner and ability to communicate with clinical, administrative and professional staff as well as clients and their support systems.
  • Knowledge of principles of management, planning, regulations, compliance.
Environmental Conditions

An enclosed office environment. Time spent sitting, using computer station, period of intense concentration, using the telephone, reading clinical charts, and doing paperwork. Time spent in meetings, travel to various work site locations. Some exposure to weather conditions.
